Invite your teachers and staff, and set what each one sees
Your school is more than one person: teachers who sell their courses under its name, an assistant who answers their teacher’s students, a supervisor who reviews a department, an accountant who records payments. You invite each by a link, give them a role that says what they do, and a reach that says where: the whole school, their department, or their own work. It all happens in “School”, under “Team”. Our example: Amine Belkacem, director of En-Nadjah Academy, invites Sara Makhloufi as a teacher, then Karim Haddad as her assistant.
- About 7 minutes
- 5 steps
Who can do it: Inviting and managing staff needs “Manage team and invitations” (the director and the deputy); seeing the staff needs “View the team”. Creating and editing roles needs “Create roles and permissions”, which stays with the owner and whoever the owner grants it to. Nobody grants a permission they don’t hold.
In 5 steps
- 1In “School” → “Staff and departments”, press “Invite a member”: the role, then scope and contract, then how to send it.
- 2Send the link on WhatsApp, copy it or show the QR code, and follow pending ones in “Joining and invitations”.
- 3The invited person opens the link, joins with their account, then accepts the school rules in “My school”.
- 4In “Staff”, “Manage”: role, scope, exceptions, suspension or removal; in “Departments”, your departments and their supervisors.
Before you start
- “School” switched on, and being its director or deputy (the “Manage team and invitations” permission).
- The person’s WhatsApp number or email, or having them in front of you to show the QR code.
- An idea of their role and reach: a teacher who sells courses, an assistant to one teacher, a department supervisor, or an accountant for the whole school.
- For a teacher: their contract. The default model comes from “School rules”, and you adjust it in the invitation.
- Step 1 of 5
Invite a member: the role, then scope and contract, then sending
Open “School” from the dark column at the edge of the screen, then “Staff and departments” in the “Team” group of the panel beside it, and press “Invite a member”; the same sheet opens from “Invite” in “Joining and invitations”, and from “Invite a teacher” in “Teachers”. It has three steps. In “Role”, type their name as it will appear in the invitation, then answer “Which role?”: “Teacher”, “Teaching assistant”, “Department supervisor”, “Grader”, “Student support”, “Accountant”, “Marketer”, “Deputy director”, or a role you created. In “Scope and contract”: the “Department” for a teacher, supervisor or grader, and “Works with” to link an assistant or grader to a teacher; otherwise they work across the whole school. For a teacher, the “Contract”: commission, monthly fee, fee plus commission, salary plus commission, or fixed salary, with the “School commission (%)” or the monthly amount. In “Sending”: “WhatsApp”, “Email” or “Open link”, a personal note if you like, then “Create the invitation”.
On screenSchoolStaff and departmentsInvite a memberWhich role?Scope and contractDepartmentWorks withContractSchool commission (%)WhatsAppEmailOpen linkCreate the invitationTip“Which role?” only shows roles whose permissions you hold in full, and only the director appoints a “Deputy director”. The invitation’s contract starts from the default model in your rules; change it for this teacher if you need to.
Heads-upWith their email, the link is theirs alone and lasts 7 days; without one, “The link works for the first person who accepts it and expires after 24 hours.” Two limits protect your school: 20 pending invitations at a time, and 50 a day.
- Step 3 of 5
What the invited person sees: from the link to “My school”
Sara opens the link and sees a page in your school’s logo and colour: “Amine Belkacem invited you to join En-Nadjah Academy”, with her role, “Teacher”. If she isn’t signed in: “Create an account and join” or “Already have an account? Sign in”, then she comes back to the same invitation. Signed in: “Join now”. Once in, a welcome page shows “What you can reach” and “Start here”, then “Enter the workspace”. In “School” she finds “My school”: at the top, “Rules version 1 awaits your acceptance”; she presses “Read them”, ticks “I have read the rules and accept them”, then “Accept version 1”. Her contract is in “My contract and earnings”.

An expired, revoked or used link shows her “This invitation is no longer valid”: “Renew the link” from “Pending invitations”, or invite her again.
Heads-upIf Sara is signed in with a different address from the one you invited, she reads “This invitation was sent to a different address.” “Sign out and use another account” brings her back to the invitation, to come in with the right account.
- Step 4 of 5
“Staff and departments”: role, scope and exceptions
The “Staff” tab groups everyone who doesn’t teach (deputy director, supervisors, assistants and graders, support, accounting, marketing, other roles), with each one’s role, scope, last sign-in and status. Teachers have their own page, “Teachers”. “Manage” next to a member opens their sheet: the “Role” to change it, and the “Scope”: the whole school, linked to a teacher whose students and questions are all they see, or particular departments. Below, “Can” and “Cannot” in sentences, then “Exceptions”: “Add an exception” changes one module’s scope for them alone, without touching their role. Then “Save”. At the foot of the sheet, “Suspend” stops their access at once and keeps everything as it is, and “Remove from the team”, then “Remove for good”. In the “Departments” tab, “New department”: a name, an optional supervisor, who is in it, and “Who reviews the department’s courses and requests?”: “The supervisor” or “The director”.
On screenStaffManageRoleScopeCanCannotExceptionsAdd an exceptionSaveSuspendRemove from the teamRemove for goodDepartmentsNew departmentTipExample: Karim Haddad, a “Teaching assistant” linked to Sara, answers the students of her courses and grades them, and never sees anyone else’s. Each teacher has a page in “Teachers”: its “Permissions” tab changes their role and reach, and “Their own exceptions” grants or withholds a single permission.
Heads-up“Changing the role clears this member’s permission exceptions — they belonged to the old role.” You can only pick roles whose permissions you hold in full; only the owner changes a deputy director, and nobody changes their own role.
- Step 5 of 5
The nine roles, and roles of your own
“Roles and permissions” sorts the roles into three families. “Leadership”: “Owner (director)”, everything, and alone billing and the school’s shape; “Deputy director”, the team, requests, reviews and money to read and close, but no paying teachers, no rules and no roles; “Department supervisor”, who reviews their department’s courses and requests. “Teaching”: “Teacher”, on their own work, without student phone numbers; “Teaching assistant”, who answers their teacher’s students and grades; “Grader”, grading only. “Services”: “Student support”, “Accountant”, “Marketer”. Every role has ten modules, each with its “Level” (none, view, edit, manage) and “Reach” (whole school, department, their own), and “Details” for the fine-grained permissions. Ready-made roles can be read, not edited: “Copy as a new role” or “New role”, then the “Role name” and the “Base” (Teacher or Assistant), with a live preview and what it allows “In sentences”, then “Create role”. And “Who can…?” tells you who holds a given permission, such as seeing student phone numbers.

Editing a role later applies on save to everyone who holds it.
Heads-up“Create roles and permissions” and “Custom domain” stay with the owner, and nobody grants a permission missing from their own role. “Delete role” is refused while the role has members or pending invitations. And the matrix is edited on a computer: on a phone you read the role and who holds it.
Once your team is in
- See what your team didThe “Activity log” in “School” shows every change to the team, roles, money and content, with who made it and when.
- Write your school rules“School rules”: the price range, review before publishing, what needs your approval. Every teacher accepts the version you publish.
- Set your teachers’ contracts“Contracts and commissions”: each teacher’s contract and its versions, with a simulation before you save.
- Get your teacher startedTheir first step: the guide “Create a course”.
Questions
Where did “Team” go from “Settings”?
The whole team now lives in “School”: “Teachers”, “Staff and departments”, “Joining and invitations”, “Roles and permissions” and the “Activity log”. In “Settings”, one row, “School & team”, takes you there, or to switching the school on if you haven’t yet.
What’s the difference between a role and its reach?
The role says what a member does: grade, approve payments, review courses. The reach says where: the whole school, their department, or their own work (their courses, or those of the teacher they assist). A teacher and their assistant both grade, but only the students of those courses.
Can a teacher see students’ phone numbers?
Not by default. The “Teacher” role sees the students of their courses and their progress, without phone or email, and doesn’t export lists. That changes with a rule in “School rules”, or with an exception for them alone, in the “Permissions” tab of their page.
The invitation email never arrived. What now?
Send the link yourself, on WhatsApp or by copying it: if you didn’t read “We sent the invitation to …” after creating it, no email went out at all. If the link is lost, “Renew the link”.
Can a teacher add their own assistant?
Yes, from “My school” → “My assistants” → “Invite an assistant”, within your rules (two by default). The assistant works only inside their courses, and doesn’t publish or set prices. If they need more, “Ask for another assistant” sends you a request.
What happens if I edit a role people hold, or want to delete it?
An edit applies on save to everyone who holds it, except what you set for one member. Deleting is refused while the role has members or pending invitations: move its members and revoke its invitations first.
How do I pause a member without losing anything?
“Suspend” from their sheet, or “Suspend access” from a teacher’s page: access stops, everything stays in place, and you lift the suspension whenever you like. For a teacher who leaves, “End collaboration” hands over their courses and questions in four steps.
