Certificates

Issuing and following certificates: eligible students, approvals, register and verification

Once active, the certificate works by itself: it goes to whoever meets the conditions, in the name they confirmed, with a unique number and a verification link. Your part is to see and decide: who earns it today, who is missing something, what awaits your approval, and what happened to each certificate after it went out. In this lesson Mourad follows the calligraphy certificate after the exam closes, corrects a name and prints the ceremony’s certificates in one file. The same page serves a photography-workshop organiser issuing attendance certificates from a list of names.

  • About 7 minutes
  • 6 steps

Who can do it: “Issue certificates” is enough to grant, approve and use the register. Changing conditions and design needs “Manage certificates”.

In 6 steps

  1. 1The certificate page: three tabs and one line with what waits for you; in “Students”, “Need you”, “On the way” and “Issued” with their counts, “Grant it” for one or “Grant it to them” for all.
  2. 2“Awaiting your approval”, at the top of the “Register”: requests with evidence and Noqta’s name notes, “Grant” or “Reject…” with a reason the student receives, and “Grant selected”; the same requests sit in “Need you” on the certificate page.
  3. 3For a group: “Present” and “Absent” on each student’s row. For an event: the “Names” tab, a list with no accounts needed.
  4. 4The “Register”: every issued certificate and its activity, opened in a popup to correct the name or revoke, “Reconsider” for a rejection, and one print file.
Show all
  1. 5The verification page on your domain: the code opens it, and number lookup serves anyone holding paper; what it shows is set in “Signature & seal”.
  2. 6From ⋯ at the top of the page: pause or archive with “Undo”, rename, delete the draft; from “Design”, reissue older ones with the current version or the new signature.

Before you start

  • Activate the certificate from its page: “Activate it” on the line under the tabs. Before that nothing goes out and no one receives it.
  • If you chose “After your approval”, requests wait for you in “Need you” on the certificate page and at the top of the “Register”, and don’t go out by themselves.
  1. Step 1 of 6

The certificate page: who needs you, who is on the way

Three tabs, and under them one line with what needs you first; in “Students”, every student with a state computed from your conditions, and what they still need.

    • One line“3 students earn it and haven’t received it yet.” with “Grant it to them”; or requests waiting for you, or granting running in the background.
    • “Need you”, “On the way”, “Issued”Three sections with their counts; “All statuses” also reaches the revoked and the rejected.
    • “Grant it”One student, the selection from the dark bar, or “Grant regardless of conditions” with a reason kept on record.

TipFrom the student’s own popup on the Students page (its “Certificates” section), “Grant a certificate manually” without opening the certificate page.

    All the details

Open the certificate from “Certificates”. At the top of its page: its name, “Edit design” and ⋯; under it, a line of facts: its state (“Active · Automatically”), its source as a link, “Version 2” and “59 issued”. Then three tabs: “Students” (with the number who need you), “Conditions”, “Design”. Under the tabs, one line says what matters first, in this order: granting running in the background (“Granting certificates: 160 of 412” with “Stop”), then the draft and “Activate it”, then paused or archived, then “3 requests are waiting for your approval.” with “Review them”, then “3 students earn it and haven’t received it yet.” with “Grant it to them”. In “Students”: “Search by name or number”, the sections “Need you” (requests awaiting your approval, and those who earn it but haven’t received it), “On the way” (closest first) and “Issued”, each with its count; “All statuses” also reaches “Revoked” and “Rejected”; and “Order”: “Closest first”, “By name”, “By average”, “Most recent”. Each row shows what the student has done (“Lessons 14/14”) or “Still needs:” (“Lessons 12/14 · Average”), then their state or your move: “Grant it” for whoever earns it, “Approve” and “Reject…” for a request, “Remind” for someone who still has to confirm their name (if you ask for name confirmation, what you grant stays “Awaiting name confirmation” until they confirm). Select rows and a dark bar appears: “Grant (3)”, “Approve (2)” or “Reject…”. For a student outside the conditions: ⋯ on their row → “Grant regardless of conditions” → “Reason (saved with it; the student doesn’t see it)” → “Grant it”; it’s issued and marked “Granted by you”. Click the name of a student who has it to open their certificate in a popup.

On screenEdit designStudentsConditionsDesignStopActivate itReview themGrant it to themSearch by name or numberNeed youOn the wayIssuedAll statusesOrderStill needs:Grant itApproveReject…RemindGrant (3)Grant regardless of conditions

Heads-up“Grant it to them” doesn’t bring back a certificate you revoked or a request you rejected: those students don’t count as eligible. And granting to hundreds of students runs in the background: the progress shows under the tabs, and it carries on even if you close the page.

  2. Step 2 of 6

“Awaiting your approval”: at the top of the “Register”, with evidence and Noqta reading the names

With “After your approval”, requests arrive with what the student achieved, Noqta flags every doubtful name, and the clean ones are already selected.

    • The evidenceThe name as it will print, in Arabic and Latin, and the lessons, mark and average as computed.
    • Noqta’s notesA single name with no surname, Latin name in capitals, Arabic letters in the Latin box…
    • “Grant selected”Everything clean is selected from the start: one press for the end of a whole group.

Tip“After your approval” suits professional training or a certificate in an institution’s name: every certificate passes before your eyes.

    All the details

When requests wait for you, the head of “Certificates” says “3 awaiting your approval”, the “Register” tab carries their number, and the line under the tabs says “3 certificate requests are waiting for your approval.” with “Review”; in the certificates list, “3 waiting for you” on the certificate’s row becomes a link to them. Open the “Register”: its first section is “Awaiting your approval (3)”, with a summary (“3 requests · 1 flagged by Noqta”). Each row shows the name as it will print (Arabic, then Latin), the certificate, the evidence (lessons, mark, average) and Noqta’s notes on the name: a single name with no surname, a Latin name in capitals, Arabic letters in the Latin box, the same name twice. For each request: “Grant”; or “Fix, then grant” when Noqta knows the fix, which corrects the name and grants in one click; or “Reject…”: a popup in the middle of the screen asks for the “Reason (the student receives it)”, then “Reject”, and the student is notified with the reason. Clean requests start selected, flagged ones don’t; at the bottom, “2 of 3 selected” and “Grant selected (2)”. What you decide leaves the section for the register below; when no request is left, the section disappears. The same requests are on the certificate’s page, “Students” tab → “Need you”: “Approve” and “Reject…” on each row, or select them and “Approve (3)” from the dark bar.

On screenRegisterReviewAwaiting your approval (3)GrantFix, then grantReject…Reason (the student receives it)RejectGrant selected (2)Need youApproveApprove (3)

Heads-upRejecting isn’t final: the rejected request stays in the “Register” as “Rejected” with its reason, and “Reconsider” beside it puts it back in “Awaiting your approval”.

  3. Step 3 of 6

Attendance in “Students”, and the list of names

For an in-person group, mark who attended on their row; for a workshop without accounts, paste the names in “Names”.

    • “Present” / “Absent”On each student’s row when attendance is a condition; with automatic granting, a question before it goes out.
    • “Names”The event’s tab: one name per line, and “Arabic name | Latin Name” for the Latin name.
    • “Issue 28 certificates”A certificate per name, with number and verification link, no account needed.

TipA one-day workshop for a hundred people? Paste the names from the sign-up sheet, then print them from the “Register” in one file.

    All the details

For a group certificate with the attendance condition, each row in “Students” carries “Present” / “Absent” (except for those who already have it): your choice is saved, and goes back if the save fails. If granting is automatic and attendance is the last thing a student lacks, a popup asks first: “Marking … present issues their certificate”, then “Mark present”. For an event or workshop, the first tab becomes “Names”: the “List of names” — “One name per line. For the Latin name: “Arabic name | Latin Name””. Under the text, each name shows as it will print, with Noqta’s notes (“No Latin name. Noqta suggests: “…””) and a choice of “Masculine” or “Feminine”. Then “Issue … certificates”: each name gets a certificate with its number and code, even without an account with you, and appears in the list below. The certificate must be active first: “Activate the certificate first, then issue it to the list.”

On screenPresentAbsentMark presentNamesList of namesMasculineFeminineIssue 3 certificates
  4. Step 4 of 6

The “Register”: every certificate, and what happened to it

Search and filters kept in the page’s address, and a popup per certificate: number, version, validity and full history.

    • “Activity”Viewed, downloaded, shared, verified: four marks on every row.
    • “Correct the name”Arabic and Latin name, wording, then “Save and reissue”.
    • “Revoke”With a private reason; the number is never reused, and the certificate never comes back on its own.

TipA ceremony? Filter the certificate, select all, then “One print file”: one PDF, a page per student, ready for the printer.

    All the details

Under “Awaiting your approval” (when there are requests), the “All certificates” section: “Name, number or certificate”, then “All certificates” and “All statuses” (issued, awaiting name confirmation, revoked, rejected, awaiting your approval). Search and filters live in the page’s address: a reload or a shared link opens the same view, and Back goes one step back; with no result, “Clear search and filters”. Columns: student, certificate, number, date, status, and “Activity”; “Show more” at the bottom. Click a student’s name and their certificate opens in a popup in the middle of the screen: the sheet itself, “PDF”, “Copy verification link”, the number, the issue date (“Automatically” or “By you”), the version, validity, the verification link and the “History”: issued, approved, notified, name confirmed, viewed, shared. A typo in the name? “Correct the name” then “Save and reissue”: same number, same link, the right name. A bigger mistake? “Revoke the certificate”, with a “Reason (not shown publicly)”, then “Revoke permanently”. A rejected request shows as “Rejected” with its reason, and “Reconsider” beside it puts it back awaiting your approval. Select issued certificates and a bar appears at the bottom: “One print file”, or “Reissue”, which asks first: “Reissue 3 certificates with the current version? Each student gets a notification, and the numbers don’t change.”

On screenAll certificatesName, number or certificateAll statusesClear search and filtersActivityShow morePDFCopy verification linkHistoryCorrect the nameSave and reissueRevoke the certificateReason (not shown publicly)Revoke permanentlyReconsiderOne print fileReissue

Heads-upRevoking is final: the verification page says so, the number is no longer valid, and the certificate never goes out to them again on its own, even if they meet the conditions again (you can grant it yourself). For a name, don’t revoke: correct it.

  5. Step 5 of 6

    The verification page

The code on the sheet opens a page on your academy’s domain: “Authentic certificate”, in its holder’s name, with its date.

    • “Authentic certificate”Or revoked, expired, or a private certificate if its holder hid it.
    • Lookup by numberFor paper without a code: the number and first name, with limited attempts.
    • What’s publicFull name or initial, duration and grade, the LinkedIn button.

TipA certificate with an average and rank? Turn off “Duration and grade” if the result should stay between you and the student: the page says “authentic” without the mark.

    All the details

Every certificate carries a short link and a QR code on your academy’s domain. Whoever scans it reads “Authentic certificate” with the name, certificate, course, number and the certificate’s image, to compare with the paper in hand. If it was revoked, the page says so, without the reason. For paper without a code: the lookup page (/v on your domain), by number and first name. Set what’s public on the “Signature & seal” page (its link is at the head of “Certificates”) → “Verification page”: “Full name” (off: first name and the surname’s initial), “Duration and grade”, the LinkedIn button for the student, and “Lookup by number for anyone holding a paper copy”; then “Save” with your password. The code is random, 10 characters: no one can guess other people’s certificates.

On screenAuthentic certificateSignature & sealVerification pageFull nameDuration and gradeLookup by number for anyone holding a paper copySave
  6. Step 6 of 6

    Pause, archive, delete, reissue

The certificate lives with your course: pause it, archive it, delete the draft, or reissue what went out with a new design or a new signature.

    • “Pause granting”From ⋯: nothing new until “Resume granting” on the line under the tabs; and “Undo” in the message.
    • “Archive” or “Delete the draft”Archive what has issued, and “Bring it back” returns it; delete what never issued anything, in two presses.
    • “Design” → “Versions”“Reissue with version 2”: same number, same code, with the current design and signature.

TipA course that runs every term? Keep the same certificate active: numbers follow on and the register gathers every cohort.

    All the details

At the top of the certificate page, ⋯: “Rename” (a “Rename the certificate” popup, then “Save the name”), “Pause granting” or “Resume granting”, “Archive” or “Bring it back”, and “Delete the draft” for a draft that never issued anything (“Delete” for a certificate that never issued anything and that no one is waiting on): one press turns it into “Click again to delete”, then a second press. After pausing or archiving, a message at the bottom of the screen (“Paused “…””) offers “Undo”, which puts it back as it was, and the line under the tabs says “Granting is paused: no new certificates are issued until you resume it.” with “Resume granting” (or “Archived: what was issued stays valid, and nothing new is issued.” with “Bring it back”). The same menu sits on the certificate’s row in the “Certificates” tab, which also flags what needs your hand: another draft for the same course reads “A second draft for the same course”, with “Delete” beside it, and a certificate whose course is gone says “The course was deleted — link it or delete this certificate”. In the “Design” tab, the “Versions: what’s issued never changes” section: for each version, its date and how many certificates went out with it, and beside an older one “Reissue with version 2”; when certificates went out on several older versions: “Reissue all older ones with the current version (13)”. If you changed the signature or seal after issuing: “12 certificates were issued before the last change to the signature or seal.” with “Reissue with the new signature”. Each asks first, for example: “Reissue 13 certificates with version 2? Each student is notified. The number and the verification code don’t change, and the signature becomes the current one.” then “Reissue them”; “reissued” is recorded in each one’s history. A large number runs in the background, with the progress under the tabs: “Reissuing certificates: 160 of 412”.

On screenRenameSave the namePause grantingResume grantingArchiveBring it backDelete the draftClick again to deleteUndoA second draft for the same courseThe course was deleted — link it or delete this certificateDesignVersions: what’s issued never changesReissue with version 2Reissue all older ones with the current version (13)Reissue with the new signatureReissue them

Heads-upA certificate that has issued isn’t deleted, it’s archived: “Certificates have been issued from it: archive it instead of deleting it.” That way every certificate already handed out stays valid.

Questions

A student is eligible but nothing went out: why?

Find them in “Students” and read their state: awaiting your approval, awaiting name confirmation (with “Remind” beside it), or granting paused. If it prints the rank, it waits for every counted paper to close. And if a certificate of theirs was revoked or a request rejected, nothing comes back on its own and “Grant it to them” leaves them out: grant it yourself from their file if you wish.

I granted the certificate to hundreds of students: do I have to stay on the page?

No. A large grant runs in the background: the line under the tabs says “Granting certificates: 160 of 412” with “Stop”, and it carries on by itself within minutes, even if you close the page.

The student misspelled their name after issue

“Register” → their name → “Correct the name” → “Save and reissue”. Number and link unchanged.

I rejected a request by mistake

“Register” → filter “Rejected” → “Reconsider” beside the request: it goes back to “Awaiting your approval” and you grant it from there.

How does an employer verify a certificate?

They scan the code on the paper, open the link, or look it up by number and first name on your academy’s verification page.

Can I issue to someone without an account?

Yes, for an “event” certificate: the “List of names”, one name per line.

Does the student see why it was revoked?

The reason isn’t public. The student sees the academy revoked it and is invited to contact them.

Are certificates sent by email?

The student gets a notification in their portal (if “Notify the student” is on) and finds them in “My certificates”, with number, link and PDF.
