A space’s members: requests, adding, subscriptions and follow-up

A space lives through its members. In the “Members” tab you approve those who ask, add students yourself, see for each one how they came in and until when, extend someone who paid you cash, and remove whoever should leave. Beside the space, a small panel tells you every day how it’s doing: the “Space health” score, what waits for you “Today”, who takes part and who has gone quiet. And your inbox gets join requests and your students’ questions, so nothing slips. The example: Sara Makhloufi, the video-editing trainer, in “October cohort — editing” (38 members) and the “Photo club”, a free space “On approval” run by the school’s photography trainer; the same tab serves a trainer following a cohort or a teacher following a class.

  • About 4 minutes
  • 6 steps

Who can do it: “Community & moderation” for the whole tab. “Extend” needs “Approve payments”, the “Money” card needs “View payments”, and “Nudge” needs permission to send notifications.

In 6 steps

  1. 1“Requests waiting”: “Approve” lets the student in and notifies them, “Deny” removes the request.
  2. 2“Add students”: search by name and pick, then “Add”; in a paid space each starts with one period.
  3. 3Read each member’s line: “Member until…”, “Expires…”, or how they came in; “Extend” for a cash payment.
  4. 4“Remove from space” with a confirmation, and “Lapsed” for those who didn’t renew.

  1. 5“Space health”, “Today”, “People” and “Money” beside the space.
  2. 6Join requests and student questions reach the “Inbox”, with a badge on the space in the “Community” panel.

Before you start

  • A space with members or open to join: see “How to create a space”.
  • Students enrolled in your school: “Add students” searches among them.
  • The “Approve payments” permission if you’ll extend paid subscriptions for cash.
  • Room in your plan: paid subscribers and people you add count toward your student number.
  1. Step 1 of 6

    “Requests waiting”: approve or deny

In a free space “On approval”, each student who presses “Ask to join” appears in the orange “Requests waiting (3)” card at the top of the “Members” tab, with “Asked to join Oct 3” under their name. “Approve” lets them in at once, a welcome line appears in the feed, and they are notified. “Deny” removes the request quietly; they can ask again. Under the title: “Approve and they're notified; decline and the request is removed — they can ask again.” Example: three requests in the “Photo club” on Sunday morning: Ines and Rania from the course, and a stranger you deny.

    On screenMembersRequests waitingAsked to joinApproveDeny

TipAn orange badge with the number of requests shows on the space’s name in the “Community” panel, the requests themselves in the “Inbox”, and a notification in “Notifications”: no need to open every space to know.

Heads-upRequests exist only in a free space “On approval”. A paid space opens to whoever pays, and a closed one can’t be asked for.

  2. Step 2 of 6

“Add students”: let them in yourself

In the “Members (38)” card press “Add students”: a “Search students…” box and the list of your school’s students who aren’t in the space. Pick one or more, then “Add 2” (or “Cancel”). The person you add carries the line “Added by you”. In a free space their membership never ends. In a paid space they start with one period from today — one month in the “Content creator bundle” — then renew by paying from inside the space. That is how an invite-only space works: you choose who comes in.

On screenMembersAdd studentsSearch students…AddCancelAdded by youNo matches

TipThe search covers your school’s students only. A brand-new student signs up on the platform first (or you enrol them in a course), then you add them.

Heads-upIf your plan’s student number is full, adding fails with a message saying so. Move to a bigger plan or free a seat.

  3. Step 3 of 6

Read each member’s line, and extend someone who paid cash

Under each name a line gives their state: “Member until Nov 4”; “Expires Oct 6” in orange when less than a week is left; or how they came in if there’s no date: “Paid subscription”, “Joined themselves”, “Added by you”. In a paid space, “Extend” appears on hover (with “Approve payments”): “Extend Yacine Bouzid by one period? Use this when you're paid in hand — no payment order is recorded.” then “Yes, extend”: a month is added to what’s left and the date changes in front of you. At the bottom, “Lapsed”: those whose date passed without renewing, with “Lapsed Oct 4”.

On screenMember untilExpiresPaid subscriptionJoined themselvesAdded by youExtendYes, extendCancelLapsed

TipBefore the month ends, open “Members” and look for orange lines: a short message to their owners saves most renewals.

Heads-up“Extend” creates no payment order, so it doesn’t count in the month’s revenue. It doesn’t show in a “One-time” space, which has no end date.

  4. Step 4 of 6

    “Remove from space”

The bin “Remove from space” asks before acting: “Remove Anis Kacemi? They lose access at once.” And for a paying member, more plainly: “Remove Anis Kacemi? They paid for this subscription and lose access at once, with no automatic refund.” Then “Yes, remove” or “Cancel”. The removed person loses the space and its included courses at that moment; their course progress stays saved. If it fails: “Couldn't do that — try again”.

On screenRemove from spaceYes, removeCancelCouldn't do that — try again

TipFor a cohort that has finished its programme, archiving the whole space is cleaner than removing members one by one.

Heads-upRemoving refunds nothing: if the student paid, settle a refund with them directly.

  5. Step 5 of 6

Beside the space: health, “Today”, people, money

On the “Feed”, “Questions” and “Links” tabs, the space’s side panel shows (on a phone, the “Overview” button). “Space health”: a score out of 100 in colour (green from 70, orange from 40) blending the week’s posts, the share of members active in 14 days, unanswered questions and the renewal rate, with a line on what to do: “Unanswered questions erode trust — answer them today.” “Today”: join requests waiting, unanswered questions, subscriptions ending within a week, or “Nothing waiting”. “People”: “Most active · 14 days”, who has been quiet for two weeks, and “Nudge”. “Money”: “Month revenue”, “Renewal rate”, “Lapse within 30 days”.

On screenSpace healthTodayNothing waitingPeopleMost active · 14 daysNudgeMoneyMonth revenueRenewal rateLapse within 30 daysOverview

TipThe score rewards what keeps a community alive: a post or two a week, questions answered the same day. The “October cohort”, with 5 posts this week, 30 active members and one open question: about 82.

Heads-upA question counts as unanswered until you press “Accept as answer” on a comment, even if someone replied.

  6. Step 6 of 6

What reaches you, and what reaches the student

You don’t need to watch every space: your “Inbox” (at the foot of the column; on a phone, in the bottom bar) has a row for each space with join requests, and its “Notifications” get the “New join request” — “Ines Hamdi asked to join “Photo club”.” — and every student question in a space: “Ines Hamdi asked a question” with its first line; when they pile up they’re grouped: “3 new questions are waiting for an answer in “October cohort — editing”.” A tap takes you to the request or the question itself. On the “Spaces” page, the “Needs your decision” number gathers requests and overdue subscriptions. The student is notified when you approve their request, and when you approve their receipt.

On screenInboxNotificationsNew join requestasked a questionNeeds your decision

TipMornings: the “Inbox” first, then “Needs your decision” on the “Spaces” page. Five minutes cover ten spaces.

Heads-upThese are in-platform notifications in the inbox, not a phone ring. Replies to your posts arrive as a usual notification.

Questions

Does the student know I approved their request?

Yes. When you press “Approve” they get a notification that they’re a member, and find the space in their list. Denying sends nothing, and the request is removed.

I added a student to a paid space — do they pay?

They start with one period from the day you add them, without paying, as if you received the first payment. After that they renew by paying inside the space, or you use “Extend” if they pay cash.

Why don’t I see “Extend”?

It shows only for paid spaces with a period (not “One-time”), for whoever has “Approve payments”, and on a computer when you hover the line.

When does a member move to “Lapsed”?

As soon as their date passes without renewal: they lose access at once and change list. They become a member again when they renew.

Can I remove a student who paid?

Yes, and the platform warns you: they paid and lose access at once, with no automatic refund. Any refund is between you.

How is “Space health” worked out?

Up to 35 for the week’s posts (7 each), up to 30 for the share of members active in 14 days, 20 minus 5 per unanswered question, and up to 15 for the renewal rate.

Am I notified of every student post?

Your inbox gets every question a student asks in a space, every join request and replies to your posts. Ordinary discussions you read in the feed.
