Organization settings: reminders, quiet hours and phone notifications

“Organization settings” belong to you alone in the workspace: which time zone your appointments are read in, which day your week starts, which notification reaches you and when. Here is every setting, then a reminder’s whole journey: from the “Reminder” field of a task or appointment, to the moment it is computed, through quiet hours, to “Notifications” in the “Inbox”, and to your phone if you turn notifications on in “Phone app”. The example: “En-Nadjah Academy” — Amine Belkacem wants no disturbance after 10 pm without missing his morning appointment, Sara Makhloufi follows a task for the course “Video color grading”, and Karim Haddad wants his reminders on his phone. The same logic for a marketing coach following a campaign, or a teacher whom Organization reminds to mark the class’s papers.

  • About 6 minutes to read
  • 5 steps

Who can do it: Anyone with “Tasks” opens their page and sets it for themselves. The “Manage others’ recurrences” permission has nothing to do with this page: it only lets you edit colleagues’ shared recurrences.

In 5 steps

  1. 1“Workspace preferences”: time zone, week start, default calendar view and weekly working hours.
  2. 2A reminder: computed from the deadline or the appointment’s start, it goes only to the task’s assignee or the appointment’s owner.
  3. 3Quiet hours: notifications wait until they end, except a reminder whose deadline comes first, which is sent right away.
  4. 4Follow or mute one item: “Automatic based on my role”, “Follow updates” or “Mute this item’s updates”.

  1. 5Phone notifications: “My account” → “Phone app”, per device, for reminders, assignments and appointment changes.

Before you start

  • The “Tasks” permission in your role (every ready-made role has it: owner, “Admin”, “Teacher”, “Assistant”).
  • A task with a deadline, or an appointment in the “Calendar”, to try a reminder on.
  • For the phone: a phone or computer with a recent browser; on iPhone, iOS 16.4 or later.
  1. Step 1 of 5

“Workspace preferences”: your time, your week, your calendar

Organization → “Organization settings” (on a phone, under “Menu”): “Your personal preferences in this workspace.” On a computer, two cards side by side; on a phone, two buttons at the top to pick one: “Workspace preferences” and “Organization notifications”. In the first: “Time zone” (first “Common”: “Algiers time” and your device’s zone, then “All time zones”) — it is how the hours of your appointments and tasks are read, what “today” is, where days begin in the calendar and reports, your quiet hours, and the default zone of every new appointment. “Week starts on” (Sunday by default) builds the calendar’s weeks and the recurrence weekdays. “Default calendar view”: “Agenda”, “Day”, “Week” or “Month”. And “Weekly working hours (optional)”, up to 168, which your manager sees in “Team & workload” as “Declared weekly capacity”. Then “Save” in the bottom bar: “Preferences saved. They will apply when opening Organization pages.”

TipNour El Houda trains students in Algeria and France: she keeps “Algiers time”, since her whole team is here, and picks the zone per appointment when she sets a meeting on Paris time.

Heads-upThese preferences are yours alone in this workspace and don’t touch your bookings: they “do not change booking availability offered to participants.” Booking hours stay on Algeria time.

  2. Step 2 of 5

A reminder, from start to finish

    1. The general rule, under “Organization notifications”: “Remind me about tasks and appointments” (on), with “Default reminder” (“At the scheduled time”, “5 minutes before”, “15 minutes before”, “30 minutes before” by default, “1 hour before”, “1 day before”, “1 week before”) and “Reminder time for date-only deadlines” (09:00). 2. Each item’s “Reminder” field: “Use default setting”, “No reminder” or a specific lead. On a task it follows the deadline: with none it is locked and says “Set a deadline to turn on the reminder.”; with a date only it arrives “On the day at 09:00”; with a time you pick the lead. 3. Who: the task’s assignee, the appointment’s owner — not followers, not plan members. 4. When: the deadline minus the lead, recomputed by itself whenever the time changes. Nothing if the item is completed, cancelled or archived. 5. Where: in “Notifications”, inside the “Inbox”, and on the “Inbox” history page, titled “Organization reminder” with the item’s name; tapping opens the item itself; and on your phone if you turn it on. Example: “Call with Yacine” Tuesday 16:00 on “15 minutes before” → 15:45; “Publish the week’s summary”, due Sunday with no time → Sunday 09:00.

TipA “Planned work date” alone triggers no reminder: reminders are built on the “Deadline”. Give the week’s tasks a deadline with a time if you want to choose when the alert comes.

Heads-upTurning off “Remind me about tasks and appointments” silences all your reminders, even those set on a single item. A reminder can arrive a minute or two late. And there is no separate alert when a task becomes overdue: it shows under “Overdue” on “My day”.

  3. Step 3 of 5

Quiet hours: no disturbance, no missed appointment

Under “Organization notifications”, turn on “Quiet hours” (off by default) and pick “Start” and “End” on a 24-hour clock (22:00 → 08:00 by default); two equal times give “Choose different start and end times for quiet hours.”. Any notification falling inside them waits until they end, in your time zone, then arrives. Except a reminder: if waiting for quiet hours to end would make it arrive after the appointment starts or after the deadline, it goes out right away, on time. The page says so: “Quiet hours hold them until they end in your time zone, except a reminder whose appointment or deadline comes first: that one is sent right away.” Amine, quiet 22:00–08:00: an 08:30 appointment on “1 hour before” → due 07:30, quiet ends 08:00, before the appointment → arrives at 08:00. A 07:30 appointment on “30 minutes before” → due 07:00, waiting until 08:00 would pass the appointment → arrives at 07:00. A comment from Sara at 23:10 → arrives at 08:00.

On screenQuiet hoursStartEndChoose different start and end times for quiet hours.

TipQuiet hours apply to the phone too: the phone notification comes from the same notification, so your phone only rings at night for a reminder that can’t wait.

Heads-upQuiet hours are read in your “Time zone”. If you change the zone or the hours, save: held notifications are re-checked against the new setting when you save.

  4. Step 4 of 5

    Following or muting one item

Under “Organization notifications”, three general switches (all on): “Tasks assigned to me” — “A task was assigned to you” when someone gives you one; “Comments on tasks I follow” — “New task comment”; “Updates to tasks and appointments I follow” — “Task updated” when its status, deadline or assignee changes, and “Appointment updated” when its start, end, reminder or status changes. You are never notified about something you did yourself. And inside each item, the “Follow updates” field: in a task’s “Discussion” tab, under an appointment’s “Details”. “Automatic based on my role”: you get a task’s updates if you created it or are its assignee, and an appointment’s if it’s yours. “Follow updates”: adds you to those who get them, even with no role. “Mute this item’s updates”: “Muting stops comments and changes for this item only. Assignment notifications and reminders follow your preferences.” Example: Sara follows Karim’s task “Upload the “Video color grading” lessons” to know when it’s done, and mutes a chatty task that doesn’t concern her.

On screenTasks assigned to meComments on tasks I followUpdates to tasks and appointments I followFollow updatesAutomatic based on my roleMute this item’s updatesDiscussionDetails

TipYou follow only what you can see: a “Shared” task visible through your permissions or your place in its plan. Following is set item by item; there is no following a whole plan at once.

Heads-upChanging a task’s title or description sends nothing: only status, deadline and assignee do. And one bulk edit of a recurrence’s copies doesn’t send an update per copy.

  5. Step 5 of 5

On your phone: reminders even with the dashboard closed

From your picture at the foot of the column (on a phone, inside “Menu”) → “My account” → the “Phone app” row, which opens its page. In the “This device” card, the “Notifications” row shows its status (“On”, “Off” or “Blocked”): press “Turn on for this device” and accept the browser’s request, “Done. Try “Send a test notification”.” shows, then “Send a test notification” to check. On iPhone, notifications only reach the installed app: press “Install the app” and follow the steps (Share button → “Add to Home Screen” → “Add”), then open Dirassa+ from its icon and turn it on. Reminders, assignments and appointment changes belong to the “Tasks and school” group in “What reaches your phone”; task comments and task updates stay in the dashboard’s Inbox. Turn it on on every device you want, and “Turn off for this device” stops that one alone. The notification follows your settings and quiet hours, and tapping it opens the task or appointment. Example: Karim turns it on on his phone and gets “Organization reminder — Check the week’s receipts” on time, dashboard closed.

TipWork in more than one workspace? Each device follows one: the last one it was turned on from. Move to the workspace you want, then turn it on from “Phone app”. Installing on each kind of phone is in the “Phone app” lesson.

Heads-upIf the status shows “Blocked”, you refused them in the browser: allow them in its settings, then refresh. If “Phone notifications are not available on the platform right now.” shows, your reminders arrive only in “Notifications”, inside the “Inbox”. No email and no SMS for Organization.

Questions

Do reminders arrive by email or SMS?

No. They arrive in “Notifications”, inside the “Inbox”, and on the “Inbox” history page, and on your phone or computer if you turn notifications on in “My account” → “Phone app”.

I set a reminder on a task and nothing came — why?

Check four things: the task has a deadline; you are its assignee (the reminder goes to them only); “Remind me about tasks and appointments” is on; the task isn’t completed, cancelled or archived. During quiet hours it may also wait for them to end.

Does the reminder reach the task’s followers or the plan’s members?

No. A reminder goes to the task’s assignee and the appointment’s owner only. Followers get comments and changes, not reminders.

Does Organization remind me of my live classes and bookings?

They show in the “Calendar”, but Organization reminders cover the tasks and appointments created in Organization. For a personal reminder before a class, create an appointment next to it with the reminder you want.

Does Organization alert me when a task becomes overdue?

There is no overdue alert. An overdue task shows under “Overdue” on “My day”, in “Tasks”, and in “Overdue now” on the reports.

Can I connect the Organization calendar to Google or Apple?

No. There is no calendar subscription and no Google or Apple sync today. Phone notifications are how your reminders reach you outside the dashboard.

Do my settings change anything for my colleagues?

No. Every setting here is yours alone in this workspace. Only your “Weekly working hours” show, as declared capacity, to whoever sees “Team & workload”.

Why don’t notifications reach my iPhone?

On iPhone, notifications only reach the installed app: “Install the app” in “Phone app”, then open Dirassa+ from its Home Screen icon (iOS 16.4 or later). Then “Turn on for this device” and “Send a test notification” to check.
