Showcase versions and teamwork: nothing gets lost

You never need to “save”: the editor saves your draft on its own, keeps versions of it to go back to, and protects your work when a teammate opens the same showcase. This lesson explains when versions are kept and for how long, how to preview an old version and restore it, what happens when the connection drops, then working as two: the edit lock, “Take over” and resolving conflicts. Example: Amel, a marketing coach, and her assistant Rym edit the page of the “Facebook Ads Workshop”.

  • About 8 minutes
  • 7 steps

Who can do it: Anyone with “Edit showcases” previews versions and restores. Someone with only “Publish showcases” sees the list without restoring.

In 7 steps

  1. 1The version list is in the “Versions” tab of the showcase page (read) and in the “Versions” panel of the editor (preview and restore).
  2. 2A version at each publish and scheduled publish, a point every 10 minutes of work, and a point before a restore, before automatic writing and before a theme change.
  3. 3The last 50 publishes stay, automatic points thin out with the days and never go beyond 30 days.
  4. 4Open a version to read it, then “Restore this version”: it becomes your draft after your current one is saved, and the published page doesn’t change.
Show all
  1. 5Saving is automatic after you pause typing, doubled on your device; if work was lost the editor offers to restore it.
  2. 6One person edits at a time: your teammate reads and can “Take over”; a second tab reads until “Edit here”.
  3. 7If you both edit the same section, “The showcase changed elsewhere” appears: you choose “My version” or “Their version” for each section.

Before you start

  • A showcase that has a draft. The first version (“First draft”) is born with the showcase.
  • The “Edit showcases” permission to preview versions and restore; with “Publish showcases” alone you see the list.
  • To work with a teammate: that they have “Edit showcases” too.
  1. Step 1 of 7

Where do you find your showcase’s versions?

Every publish and every ten minutes of work leave a version of your page, to read or restore whenever you like.

    • On the showcase pageThe “Versions” tab: newest first, each with its number, reason, author and what changed. Read-only.
    • In the editorThe “Versions” panel, from ⌘K on a computer or “More” on a phone. That is where you preview and restore.
    • And the live page?It never changes until you publish, however many versions are kept.

TipIn the editor’s “Versions” panel, versions are grouped by day, with the time, author and number of changes beneath: you quickly spot “Published yesterday at 18:40” without opening each one.

    All the details

In two places. The first is the showcase page: open the showcase from “Showcases” then the “Versions” tab; it says “Every publish saves a version, and the editor keeps a point every 10 minutes of work.” then lists the newest first, each version with its number (“Version 12”), its reason, the “Live now” pill for the published one or “Scheduled” for the one that will go out at its time, the date and time, “by Sara” then what changed: sections added, removed, edited or moved, and “Page settings”. This list is read-only; whoever edits has the “Open the editor” button. The second is the editor: the “Versions” panel, which you open on a computer from the ⌘K palette (the “Versions” command), on phone and tablet from “More” in the bottom bar then “Versions”, and on an empty page with “Restore a version”. That is where you preview and restore. It starts with: “We keep a version at every publish and every ten minutes of editing. The live page never changes until you publish.”

On screenVersionsEvery publish saves a version, and the editor keeps a point every 10 minutes of work.Version 3Live nowScheduledby …Page settingsOpen the editorMoreRestore a versionWe keep a version at every publish and every ten minutes of editing. Heads-upA showcase with no versions yet says “No versions yet”: the first appears when you publish or after a few minutes of editing.

  2. Step 2 of 7

    What creates a version?

No need for your own backup: the editor keeps a version before every big change and names it by its reason.

    • The reasons“First draft”, “Published”, “Scheduled publish”, “Checkpoint”, “Before a restore”, “Before Noqta”, “Before a theme change”.
    • The “Checkpoint”Kept when no version exists from the last 10 minutes: one point per 10 minutes of work.
    • What changedA number in the editor (“3 changes”), the detail on the showcase page: sections added, removed, edited, moved.

TipBefore trying a big change (AI, a new theme) you don’t need to make a copy yourself: the editor keeps a version before it and names it.

    All the details

Each version carries its reason, named in the list: “First draft” when the showcase is created. “Published” when you publish, “Scheduled publish” when you schedule. “Checkpoint” (named “Autosave” on the showcase page) when you save and no version exists from the last 10 minutes: that way you collect a point every 10 minutes of continuous work without doing anything. “Before a restore” is kept automatically before you restore an old version, so your current draft isn’t lost. “Before Noqta” (“Before automatic writing” on the showcase page) before what Noqta wrote enters the page, and “Before a theme change” when you change the theme (once every 10 minutes at most). What changed compared with the previous one shows as a number: “3 changes” in the editor, and in detail on the showcase page (sections added, removed, edited, moved). And if the same reason repeats within a minute on the same draft, the two versions become one.

  3. Step 3 of 7

    How long do versions stay?

You get every detail today, a wider picture in a week, and in a month only the publish versions.

    • What staysThe last 50 publishes, the live and scheduled ones however old, and the “First draft”.
    • Automatic versionsOne per 10 minutes on the first day, then one an hour up to 7 days, then one a day.
    • After 30 daysAutomatic versions are removed. Want to keep a state for long? Publish it.

TipWant to keep a particular state for a long time? Publish it: publish versions stay (the last 50), while automatic points disappear after 30 days.

    All the details

Versions don’t pile up without limit, and the rule is clear. Publish and scheduled-publish versions: the last 50 stay, and the live one and the scheduled one are never removed, however old. The first draft is never removed. Every other automatic version (checkpoint, before a restore, before AI, before a theme change) thins out with the days: during the first 24 hours one stays for every 10 minutes, from 24 hours to 7 days one per hour, from 7 to 30 days one per day, and past 30 days they are removed. So you get fine detail today, a wider picture in a week, and in a month nothing but publish versions. The thinning happens by itself at every checkpoint.

    On screenPublishedScheduled publishLive nowScheduledFirst draftCheckpoint

Heads-upDon’t count on a checkpoint older than 30 days: it may no longer exist. What was published is what stays.

  4. Step 4 of 7

Preview an old version and restore it

You preview your page as it once was, then make it your draft if you like it, without losing what you have now.

    • The previewTap a version in “Versions” and scroll it with its sections and theme, read-only.
    • And my current draft? It is kept first in a “Before a restore” version, and “Undo” puts it back.
    • What gets replacedThe whole draft: sections, theme and settings. The published page doesn’t change until you publish.

TipChanged the page and regretted it? Look in “Versions” for the last “Published” or the point before the change, and preview it before restoring.

    All the details

In the editor’s “Versions” panel, tap a version and its preview opens: “Previewing the version from yesterday 6:05 PM. Read-only.” and beneath it the page with its sections and theme as they were, which you scroll through without changing anything. If you like it, tap “Restore this version” (the button only shows for those who can edit). The editor says “It becomes your draft. We keep your current draft first.”: your current draft is kept in a “Before a restore” version, then the old version becomes the draft. The message “Restored the version from 2:30 PM” appears with “Undo”, which puts your previous draft back. The published page doesn’t change until you publish again: you can restore a version, edit it, then publish it. If the version won’t open you read “This version could not be opened.”, if the page just changed during the restore “The page just changed. Try again.”, and otherwise “The version could not be restored. Try again.”

On screenPreviewing the version from …. Read-only.Restore this versionIt becomes your draft. We keep your current draft first.Restored the version from 2:30UndoThis version could not be opened. The page just changed. Try again. The version could not be restored. Try again.

Heads-upRestoring a version replaces your whole draft: sections, theme and settings. Only what was in the version comes back, and what you wrote after it stays in the “Before a restore” version.

  5. Step 5 of 7

    Autosave, and your device’s copy

There is no “Save” button: the editor saves your draft by itself, and keeps a copy on your device if the internet drops.

    • When does it save?About a second after you pause, and within 5 seconds at most if you keep writing.
    • Internet down?“Offline · changes kept on this device”, sent the moment the connection returns.
    • The device copyIt belongs to this browser only, and may be missing in a private window: wait for “Saved” before closing.

TipThe device copy belongs to this browser alone: it doesn’t show for your teammate or on your phone. If you edit on your phone then open the computer, you see the server’s draft, not the phone’s copy.

    All the details

There is no “Save” button: about a second after you stop editing, the editor sends your draft to the server, and if you keep writing without pause, 5 seconds later at most. The status indicator says “Saving…” then “Saved · just now” then “Saved · 14:32”, and at the top “Draft” or “Unpublished changes”. A second copy is kept on your device with every edit: if the internet drops it says “Offline · changes kept on this device” and the editor sends them the moment the connection returns, and if saving fails for another reason it says “Could not save” with “Retry”. And if you closed the tab or your device died before saving, then open the showcase with a copy on your device newer than the server’s, a bar appears: “We found unsaved changes on this device.” with “Discard” and “Restore”: restoring applies its sections and settings as a step you can undo. When the tab goes to the background the editor sends what’s left; and if you close the page with unsent work, the browser warns you.

On screenSaving…Saved · just nowSaved · 14:30Offline · changes kept on this deviceCould not saveRetryWe found unsaved changes on this device.DiscardRestoreDraftUnpublished changes

Heads-upIn a private window the device copy may not be kept, leaving only the server to hold your work: keep the tab open until you read “Saved”.

  6. Step 6 of 7

Your team on the same showcase: who is editing now?

One person edits the showcase at a time, so nobody on your team writes over a teammate’s work.

    • What your teammate seesA bar saying which device you are editing on, with “Keep reading” and “Take over”.
    • When does it free up?The reservation renews every 30 seconds, and frees up after about 45 seconds away.
    • Your account on two devices? The reservation is per person, not per device: neither blocks the other, and edits are merged on save.

TipRym tells Amel “take over” when she finishes the price section: Amel moves to editing in seconds, and Rym stays on read-only following what she does.

    All the details

So two people don’t write over each other, one person edits at a time. When you open the showcase the editor reserves editing for you and renews it every 30 seconds; if you close the showcase or step away for about 45 seconds, the reservation frees up. If a teammate opens it while you edit, they see a bar: “This showcase is open right now on Amel’s computer. You are read-only.” (or “on …’s phone” or “on …’s tablet”), with “Keep reading” and “Take over”. Taking over gives them the reservation at once, and you move to read-only at the next renewal (up to 30 seconds) with the same bar. Even on your own device: if you open the showcase in a second tab, only the newest one reads and sees “This showcase is open in another tab. Read-only here.” with “Edit here”. In read-only you read the page, move around and preview, without editing. And for an archived showcase: “This showcase is archived. Restore it from the showcase list to edit it.”

On screenThis showcase is open right now …. You are read-only.on …'s computerKeep readingTake overThis showcase is open in another tab. Read-only here.Edit hereThis showcase is archived. Restore it from the showcase list to edit it.

Heads-upThe reservation is per person, not per device: if you open the showcase with the same account on your phone and computer, neither blocks the other, their edits are merged on save, and conflict resolution appears if you edit the same section.

  7. Step 7 of 7

When edits collide: “My version” or “Their version”

When a teammate saves while you edit, the editor merges what it can on its own, and only asks about the section you both edited.

    • What merges on its ownWhat only one of you changed, a section one of you added, an order only one of you changed. Silently.
    • What you chooseFor each clashing section, “My version” or “Their version”; “My version” is the default, then “Apply”.
    • Is anything lost? No. Their version is kept in “Versions” before applying: “Both versions stay in the history.”

TipThe default for each section is “My version”: if you want everything you did, just press “Apply”; otherwise change the sections that matter one by one.

    All the details

If someone else saves the showcase while you edit, the editor compares three versions: what existed before you both, what you edited and what they saved, section by section. What only one of you changed is taken from that side, a section one of you added stays, an order only one of you changed is respected, and all of this happens silently without asking you. Only the section you both edited differently (or a page setting such as the theme or offer) is left as a question. Then the “The showcase changed elsewhere” window appears with: “Someone else edited the same sections. Choose which version stays for each.” For each section, “My version” or “Their version”; if one of you deleted it and the other edited it you read “Deleted elsewhere, edited here.” or “Deleted here, edited elsewhere.” Beneath, “Both versions stay in the history.” then “Apply”. Before applying, the editor keeps the server’s draft (their version) in “Versions” so you have it to hand, then carries on with your choice. Until you choose, the indicator says “Changed elsewhere”.

On screenThe showcase changed elsewhereSomeone else edited the same sections. Choose which version stays for each.My versionTheir versionDeleted elsewhere, edited here.Deleted here, edited elsewhere. Both versions stay in the history.ApplyChanged elsewhere

Heads-upYou aren’t asked to choose between two edits on two different sections: they are merged automatically. The question only appears when both edits collide in the same section.

Questions

Do I need to press “Save”?

No. The editor saves your draft about a second after you pause, and at most every 5 seconds if you keep going; you read the state at the top: “Saved”. And what visitors see doesn’t change until you publish.

How many versions are kept, and why can’t I find a two-month-old one?

The last 50 publish versions stay, and the live and scheduled ones always. Automatic points thin out: one every 10 minutes on the first day, then one an hour up to 7 days, then one a day up to 30 days, then they are removed.

Does restoring change the published page?

No. “Restore this version” changes your draft only, and the published page stays as it is until you publish again. The editor keeps your current draft in a “Before a restore” version before replacing it, and the success message offers “Undo”.

Why don’t I see “Restore this version”?

The button is for those with “Edit showcases”. Someone with only “Publish showcases” sees the list without restoring. And the preview lives in the editor, not in the “Versions” tab of the showcase page, which is read-only.

I pressed “Take over”: what happens to my teammate?

The editor reserves editing for you at once, and your teammate moves to read-only at the nearest renewal (up to 30 seconds) and sees the “This showcase is open right now…” bar. What wasn’t saved yet of their work merges with yours or brings up the conflict resolution.

I opened the showcase on my phone and computer: do they collide?

The reservation is per person, not per device: both devices can edit, and edits merge section by section. If you edit the same section differently from both, the “My version” and “Their version” window appears. It’s better to edit from one device at a time.

What if the internet drops while I’m writing?

Your edits stay on your device, and the indicator says “Offline · changes kept on this device”. When the connection returns they go by themselves. If you close the tab first, you find “We found unsaved changes on this device” with “Restore” when you open the showcase.

What does “Both versions stay in the history” mean?

In the conflict window, before applying your choice, the editor keeps the server’s version (their version) in “Versions”: you can go back to it, preview it and restore it if you change your mind.
