Bookings

“Booking settings”: rules, reminders, connections and payment

What happens when a learner cancels, doesn’t come or is slow to pay isn’t decided case by case: you write it once in “Booking settings”, the learner reads it as one clear sentence before paying, and the platform applies it by itself. On the same page you choose which reminders learners get and when, make your sessions show in your phone’s calendar, let your other appointments close your booking hours, and prepare WhatsApp messages to send from your own number. And payment? It is the store’s, with the same methods. In this lesson Salim Bouzid sets the rules for “Al-Ofok Academy”, Leila Kacimi connects her Google Calendar, and we see what happens when Youssef in Oran cancels late. The same rules suit a marketing coach selling consulting sessions or a photographer booking studio shoots.

  • About 12 minutes
  • 7 steps

Who can do it: The page opens for anyone with “Own bookings” or “All teachers' bookings”. “Policies”, what learners receive, the WhatsApp texts and Telegram alerts are the whole academy’s, changed by “All teachers' bookings”; others read them. Your daily agenda, the subscription link and your calendar connection belong to each calendar: its owner, or whoever runs that calendar, sets them.

In 7 steps

  1. 1“Booking settings”, in “People and numbers”: four segments, “Policies”, “Notifications”, “Connections”, “Payment”.
  2. 2“If the learner cancels”: steps in hours and what each gives back (100% before 24 h, 50% before 6 h), as credit or money, and a sentence read before paying.
  3. 3“Changing the time” twice up to 6 h before, a no-show “Counts”, a 10-minute “Waiting time”, and your own cancelling always gives everything back.
  4. 4“Payment holds”: 3 h to upload a receipt, 30 minutes for a card, 24 h after approving a request; “Payment” shows the store’s own methods.
Show all
  1. 5“Notifications”: confirmation, reminders the day before and an hour before, “Room is open” 10 minutes before, “Email copy”, and your day at 07:30.
  2. 6“Connections”: a subscription link puts your sessions in Google, Apple or Outlook, and your calendar’s secret address, read every 30 minutes, closes your hours.
  3. 7“Ready WhatsApp messages” with variables, sent from your number, and “Telegram alerts” through the store’s bot.

Before you start

  • The “All teachers' bookings” permission to change rules and notifications; “Own bookings” is enough to connect your calendar and set your daily agenda.
  • The store’s payment methods set in “Store settings” (the “Open your store” lesson): bookings are paid with them; and your academy’s account entered in “Sales” → “Payment methods” if you take receipts.
  • To connect your calendar: its secret address in iCal format (in Google: Settings → your calendar).
  1. Step 1 of 7

Where “Booking settings” is, and who changes what

The last page in the “Bookings” panel, in four segments, one job each.

    • “Policies”Cancelling, changing the time, no-shows, payment holds.
    • “Notifications” and “Connections”What goes out and when; your calendar, WhatsApp and Telegram.
    • The academy’s decisionRules are for “All teachers' bookings”; your calendar is yours.

TipEverything has ready values that work from day one: you don’t need this page to start taking bookings. Open it when you want a rule other than the ready one.

    All the details

In the “Bookings” panel, the “People and numbers” group ends with “Booking settings” — “The rules learners read, what they receive and when, connections, and payment.”. Under the title, four segments: “Policies”, “Notifications”, “Connections”, “Payment”. The rules and what learners receive apply to the whole academy: whoever has “All teachers' bookings”, like Salim, changes them, and they apply to every service except those with their own policy. Someone with only “Own bookings”, like Leila, reads at the top of “Policies”: “These are the academy’s policies, changed by its manager. Your service can have its own in its editor.”. What belongs to one calendar — the daily agenda, the subscription link, the calendar connection — is set by its owner; anyone working several calendars (Manal, who runs Salim’s) picks one in “Whose calendar” at the head of “Notifications” and “Connections”.

  2. Step 2 of 7

“If the learner cancels”: what comes back, and where

Steps in hours before the session, a percentage per step, and one sentence the learner reads before paying.

    • Ready stepsMore than 24 h before: 100%; more than 6 h: 50%; after that, nothing.
    • “Credit” or “Money”Credit comes back at once for any session; money is an amount owed that you refund.
    • “What the learner reads before paying”The sentence changes as you edit, with a dated example.

TipWith “Money”, the amount owed shows on the booking card (“for you to transfer”), and once refunded you press “I paid it back” to close it. Whatever was paid from a pack goes back as minutes to that pack, at the same percentage.

    All the details

The first block of “Policies” is “If the learner cancels” — “What comes back at each time before the session.”. A coloured bar reads the time from “Long before” to “Session starts”, with the steps under it: “If they cancel more than” 24 h → “They get back” 100%, then “Then more than” 6 h → 50%. Hours run from 0 to 168 (a week), percentages in steps of 25%, and “Another step” adds one, up to four. Below, “What the learner reads before paying”: “You can cancel free of charge up to 24 hours before your session; its full price comes back as credit in your account. Between 24 hours and 6 hours before, 50% comes back. In the last 6 hours, nothing comes back. You can change the time 2 times, up to 6 hours before the session. Missing it without cancelling counts as a session held.”, with an example for a session the day after tomorrow at 18:00. Then “Where the money goes”: “Credit” (“Back at once as credit, usable on any session.”) or “Money” (“Recorded as an amount owed that you refund.”). Youssef booked a “Private review session” at 2,500 DZD for Thursday 18:00 and cancels on Wednesday at 20:00, 22 h before: 1,250 DZD comes back to him as credit to book another time.

On screenIf the learner cancelsLong beforeSession startsIf they cancel more thanThen more thanThey get backAnother stepWhat the learner reads before payingWhere the money goesCreditMoney

Heads-upThe percentage applies to what was paid, by the time left at the moment of cancelling. The rule applies from the moment you save to every cancellation to come: “Applies to … active services, from the moment you save.”

  3. Step 3 of 7

Changing the time, no-shows, and your own cancelling

How often a learner may move a booking and until when, what happens if they don’t come, and what comes back when you cancel.

    • “Number of changes”2 per booking, up to 6 h before; after that, changing means cancelling.
    • “Missed without cancelling”The session “Counts” as held, or the full price is “Returned”. “Waiting time”: 10 min.
    • “If you cancel”The learner gets the full price back, with an apology: “Always”.

TipA free intro call doesn’t need a strict cancellation policy, and the in-studio workshop may need 48 hours: give each its “Own policy” in its editor, and the academy’s policy stays for the rest.

    All the details

In “Changing the time”: “Number of changes” (2 at first, 0 to 10) and “Up to” how many hours before (6 at first) — “Per booking, up to 6 h before. After that, changing means cancelling.”. A move you make from the calendar doesn’t count against their changes. In “No-shows and lateness”: “Missed without cancelling” “Counts” (“The session counts as held.”) or “Returned” (“The full price comes back.”); the “Waiting time” of 10 minutes (“After it, “Mark absent” shows in the room.”), from 0 to 60; and “If you cancel” — “The learner gets the full price back, with an apology.” — marked “Always”, because it can’t be changed. Then “Exceptions by service”: each service with its “Own policy” on a row with “Edit”, which opens its editor, or “All your services follow this policy. A service can have its own in its editor.”. Any change shows at the bottom “1 unsaved change” — “The new sentence is what learners read once saved.” — with “Discard” and “Save”, then “Policies saved”.

On screenChanging the timeNumber of changesUp toNo-shows and latenessMissed without cancellingCountsReturnedWaiting timeIf you cancelAlwaysExceptions by serviceOwn policyEditDiscardSavePolicies saved

Heads-upIn a school, “Bookings in the school” may lock some of these rules: a padlock shows beside them, with “The school locked some rules (padlock): you can make them stricter, not looser.”. Loosening a locked rule blocks saving: “A locked rule is looser than the school’s: make it stricter, then save.”

  4. Step 4 of 7

“Payment holds”, and “Payment” from the store

How long a time stays held for someone who hasn’t finished paying, and which methods they pay with.

    • “Waiting for a receipt” 3 hTime to upload the BaridiMob receipt; once uploaded, the time stays theirs until you decide.
    • “Card payment” 30 minAnd “After approving a request” 24 h to pay.
    • One enginePayment methods are the store’s, changed in its settings; the account is the academy’s, in “Payment methods”.

TipDirassa+ takes no commission on bookings: the money reaches your account, as in the store. Rania in Paris pays with the paying-from-abroad method the store has on.

    All the details

At the end of “Policies”, a folded block “Payment holds” — “How long a time stays held for someone who hasn’t finished paying.”: “Waiting for a receipt” 3 h (1 to 72) — “For BaridiMob receipt payers, time to upload it. Once uploaded, the time stays theirs until you decide.” —, “Card payment” 30 minutes (10 to 120), and “After approving a request” 24 h (up to a week) — “When you approve a paid request, the time stays theirs this long to pay.”. When a hold runs out unpaid, the time frees itself. Then the “Payment” segment: “Payment methods” — “Bookings are paid through the store’s engine, with its payment methods.” — with each one’s state (“On” or “Off”): “EDAHABIA and CIB card” (“Instant payment that confirms the time.”, on when it is on in the store and your gateway is ready), “BaridiMob or CCP receipt” (“The time is held until the receipt is uploaded, then you check it.”), “Paying from abroad” (“Following the store’s selling-abroad settings.”) and “Cash at an in-person session”. Under them, the block “The account your students transfer to” — “One account for your academy, set in “Payment methods”, for courses, the store and bookings.”: the line “Students transfer to” with the holder and the numbers masked but for their end, like “Salim Bouzid · CCP ••••5678”, and the “Edit the account in Payment methods” button, which opens “Payment methods” on the account window. At the bottom: “The methods on here come from the store settings and apply to the store and bookings together. The account students transfer to comes from “Payment methods”.” and the “Store settings” button.

Heads-upWithout access to the store you read “Payment methods are set by the store’s owner. Open the store settings if you have access.” instead of the list. And while your academy has no account yet, the account line says “You haven’t entered your account yet” and “Whoever picks the receipt won’t know where to transfer. Enter a CCP or BaridiMob account in “Payment methods”.”; without the “Payment settings” permission it reads “Whoever manages your academy’s payments enters it, in “Payment methods”.”, with no button.

  5. Step 5 of 7

“Notifications”: what the learner receives, and what you receive

Reminders that reach the learner in their own time zone and language, and your agenda in the morning.

    • Always on“Booking confirmed” and “Room is open” (10 minutes before).
    • A day and an hour beforeTwo reminders you can turn off, plus an “Email copy” for people without the app.
    • “Your day”At 07:30: how many sessions and the first one; nothing on days without sessions.

TipThe day-before reminder isn’t sent for a booking made less than 20 h before the session, nor the hour-before one for a booking made less than 90 minutes before: someone who just booked doesn’t need it. “Room is open” reaches the learner and you, for room, live and fixed-link sessions, not in-person ones.

    All the details

In “Notifications”, the block “What the learner receives” — “In their own time zone and language, as a phone notification.”: “Booking confirmed” (“As soon as it is paid or you approve”), “Reminder the day before” (“24 h before the session”), “Reminder an hour before”, “Room is open” (“10 minutes before”) and “Asking you for the summary” (“After the session, to write what the learner receives”). Confirmation and the room opening carry an “Always on” padlock — “Confirmation and the room opening can’t be turned off — a booking doesn’t work without them.” —; the rest are switches, on. “Email copy” also sends both reminders by email. Then “What you receive” (“On your phone and in your inbox.”): “Your day at 07:30” — “How many sessions and the first one; nothing on days without sessions.” —, a switch that is yours alone, and for “All teachers' bookings”, the “Agenda time” (“For the whole academy, Algiers time.”) from 05:00 to 10:00. A last line: “WhatsApp messages are written in “Connections” and sent from your own number.”

On screenNotificationsWhat the learner receivesBooking confirmedReminder the day beforeReminder an hour beforeRoom is openAsking you for the summaryAlways onEmail copyWhat you receiveYour day at 07:30Agenda time

Heads-upWhat learners receive is the academy’s decision: someone with only “Own bookings” reads “What learners receive is set by the academy’s manager. Your daily agenda is yours.” and changes only their daily agenda.

  6. Step 6 of 7

“Connections”: your sessions in your calendar, your other appointments from it

Both ways, with no password or permission: a subscription link shows your sessions, a secret address closes your hours.

    • “Your sessions in your calendar”A link shown once, to paste into Google, Apple or Outlook.
    • “Your other appointments”Your calendar’s secret iCal address, read every 30 minutes, “busy” only.
    • A Meet or Zoom linkNot here: it is chosen per service in its editor, “Where you meet” → “Fixed link”.

Tip“The address is stored encrypted and shown to no one.” No title or detail is read from it: in the calendar the time shows grey, “Busy · From your external calendar · no details”.

    All the details

In “Connections”, first “Your sessions in your calendar” — “A subscription link for Google, Apple or Outlook: your sessions show there and update themselves.”. Leila presses “Create the subscription link”: the link shows with “Copy” — “Keep this link now: it won’t show again. Paste it into “Add calendar from URL”.” (“Google: “Other calendars → From URL”. Apple: “File → New Calendar Subscription”.”). The calendar gets her sessions from 30 days back to 180 days ahead, with the service title and, for a one-to-one, the learner’s name as long as “Learner names in the calendar” is on (“Turn off if your calendar is shared.”), and the seats of group sessions. After that the line reads “The link is active…” with “Renew link” (the old one stops) and “Turn off”. Then “Your other appointments” — “Your other appointments close your booking hours by themselves. Only “busy” is read, never titles.”: paste the “Secret address in iCal format” from Google (“Settings → your calendar → “Secret address in iCal format””), Apple or Outlook, then “Connect” → “Calendar connected and read”. It is read every 30 minutes, and the line says “Read … · 7 appointments block your times”, or why a read failed (“address refused”, “can’t be reached”, “not a calendar”…). “Change” with a new address, and “Disconnect” frees the times.

On screenConnectionsYour sessions in your calendarCreate the subscription linkCopyLearner names in the calendarRenew linkTurn offYour other appointmentsSecret address in iCal formatConnectChangeDisconnectWhere you meetFixed link

Heads-upThe subscription link is a secret: whoever has it sees your sessions. Lost or shared by mistake? “Renew link” stops the old one; then paste the new one into your calendar. Google refreshes subscriptions at its own pace, so a new session may take a while to appear.

  7. Step 7 of 7

“Ready WhatsApp messages” and “Telegram alerts”

Texts that open in WhatsApp from the booking card and go from your number, and alerts for you in Telegram.

    • Four texts“Reminder”, “Payment request”, “Pending request”, “Other”; the text follows the booking’s state.
    • VariablesName, Service, Day, Date, Time, Booking no., Academy, Payment deadline.
    • TelegramThrough the store’s bot and channel, for the events you pick.

TipNothing leaves your number until you press “Send” in WhatsApp yourself: the platform only prepares the text.

    All the details

Also in “Connections”, “Ready WhatsApp messages” — “Opened in WhatsApp from the booking card; you send them from your number. The text follows the booking’s state. The default text is in Arabic.”. Pick the text: “Reminder”, “Payment request”, “Pending request”, “Other”. In “Message text”, a ready text to edit, and under it the “Variables” chips, inserted at the cursor: “Name”, “Service”, “Day”, “Date”, “Time”, “Booking no.”, “Academy”, “Payment deadline”. “Preview for Sara” shows the message as it will arrive. Then “Save text”, or “Back to the default text”. On the booking card, “Ready WhatsApp message” offers the text for its state, with “Copy” and “Open WhatsApp”. Finally “Telegram alerts” — “For you only, through the store’s bot and channel.”: with no bot you read “No Telegram bot is connected to the store yet.” and the link “Connect it in the store settings”; with a bot, a switch “Send alerts to …” (“Alongside the app notification.”) and the events to tick: “New booking”, “Request to approve”, “Receipt to check”, “Cancellation”, “Time changed”, “New work to review”.

Heads-upA mistyped variable blocks saving (“Unknown variable: …”): use the chips instead of typing. The default text is in Arabic; rewrite it if your learners read in English or French.

Questions

A learner cancels ten hours before the session — what do they get back?

With the ready rules: between 24 h and 6 h before, 50% of what they paid, as credit in their account (or an amount owed that you refund if you chose “Money”). More than 24 h before, everything comes back; in the last 6 hours, nothing. They read that same sentence before paying.

If I cancel the session myself, does the cancellation policy apply?

No. “If you cancel” is marked “Always”: the learner gets everything they paid back as credit, with an apology, whatever the time. The same goes for “Something came up” and for cancelling a whole group session.

How do I get my sessions into my phone’s calendar?

“Connections” → “Your sessions in your calendar” → “Create the subscription link”; copy the link at once (it won’t show again) and paste it into Google (“Other calendars → From URL”) or Apple (“File → New Calendar Subscription”). Lost it? “Renew link”.

I connected Google Calendar but a new appointment hasn’t closed my hours yet — why?

The address is read every 30 minutes, so wait for the next read. The line under “Your other appointments” says when it was last read and how many appointments block your times, or why a read failed. Also check the appointment isn’t marked “Free” in Google: transparent events aren’t read.

Can the learner get a Zoom or Meet link instead of the platform’s room?

Yes, but from the service’s editor, not here: “Where you meet” → “Fixed link” (“Meet, Zoom or any other”). “The link is sent only after confirmation.”

Does the platform send WhatsApp messages in my name?

No. “Ready WhatsApp messages” are prepared for you: from the booking card (“Open WhatsApp”) WhatsApp opens with the text, and you send it from your own number. Automatic reminders arrive as notifications, and by email when “Email copy” is on.

What are the main buttons on this page?

The segments “Policies”, “Notifications”, “Connections” and “Payment”; in “Policies”, “Another step” then “Save” in the bottom bar; in “Connections”, “Create the subscription link” and “Connect”; in “Payment”, “Store settings”.
