Statements and payouts: close the month, pay, and get each teacher’s confirmation

Every teacher in your school has a monthly statement, worked out on its own from their sales and their contract. Your part is three moves: close the statement when the month is over (it gets a number and freezes), pay and record the payment, then the teacher confirms with one tap that the money arrived. In this lesson Mourad Belkacem closes September’s statements at Al Ofok Academy: Samia Benamor on 70%, Karim Haddad on a monthly salary and Nadia Meziani on subscription plus commission, then pays and answers a dispute. The same page serves a training centre paying its trainers, or a studio paying its photographers and video editors.

  • About 10 minutes a month
  • 10 steps

Who can do it: The page opens with “Close statements” or “Record payouts to teachers”. Closing and answering disputes need “Close statements”; recording payments and “Pay everyone” need “Record payouts to teachers”. The director has both, and so does the accountant role by default. With a scope over some teachers only, you see their statements only.

In 10 steps

  1. 1“The month’s cycle”: close, pay, teachers confirm — and where the money is now.
  2. 2Once the month is over in Algiers: select the ready statements, then “Close”; each gets a number and freezes.
  3. 3Anything below the “Minimum payout” carries over to next month; a debt is deducted from it.
  4. 4Open a statement: the numbers, the timeline, the payments, and “All lines” with a printable page.
Show all
  1. 5“Record payment”: full or partial, method, transaction number and date.
  2. 6“Pay everyone” records one day’s transfers together; “CSV” downloads the month.
  3. 7“Payout accounts”: where each teacher’s money goes, and what hasn’t been checked yet.
  4. 8The teacher taps “I received it”, you’re notified, and the statement turns “Confirmed”.
  5. 9A dispute on a line: correct it in the open month, reply, or reject with a reason.
  6. 10Two reminders to the director: on closing day, and after the last day to pay.

Before you start

  • Every teacher has a contract in force for the month: with no contract, no share is counted and the statement can’t close (the “Contracts” lesson).
  • In the “School rules”, set the “Closing reminder day”, the “Last day to pay” and the “Minimum payout”.
  • Ask every teacher to add their “Payout account” in “My contract and earnings”: without it, no transfer.
  1. Step 1 of 10

“The month’s cycle”: where the money is now

Open “School” → “Statements and payouts”. The page opens on last month, where the work is, unless it’s fully settled — then it opens on the running month. At the top, a three-month switch; the running month reads “October · provisional”: its numbers move with every sale. Under the title, one sentence says what’s waiting: “2 statements are ready to close: 129 000 DZD.”. Then the “Statements” and “Payout accounts” tabs, and the “The month’s cycle” strip with its three stages: “Close” (“on October 1”), “Pay” (“by October 10”, or “in full or in parts” with no day set) and “Teachers confirm” (“one tap from each teacher”). Under it, the money rather than a count of statements: “Ready to close”, “Closed · unpaid”, “Paid · awaiting confirmation”, “Paid and confirmed”, “Paid · line disputed”, with “Paid … of … (…%)”. Then the table: one line per teacher, its state, and the one button that state calls for.

On screenStatements and payoutsStatementsPayout accountsThe month’s cycleClosePayTeachers confirmReady to closeClosed · unpaidPaid · awaiting confirmationPaid and confirmedPaid · line disputed

TipThe running month says “Closing opens on November 1”: “Until then every sale goes into its teacher’s statement right away. Nothing to do now.”

  2. Step 2 of 10

    Close the month’s statements

Once the month is over in Algiers time, a selection bar appears above the table: “2 statements ready to close · Selected 2 · 129 000 DZD”. Every ready statement starts selected; untick those you don’t want to close now, or “Select all”, then “Close 2 statements”. The “Close September 2026 statements” panel opens (“Closing numbers the statements and freezes them; after that only the payment changes.”) with “Before closing”: in red what stops closing (a teacher who “has no contract this month”, with “Set contract”, or an “activation unpriced” from a code batch, with “Price the batch”), in yellow what only stops the transfer (“No payout account”, “Account not checked”). Then “Selected for closing” and “Payable this month”. Press “Close 2 statements · 129 000 DZD”: each statement gets its number (“No. 12 · 84 000 DZD”), freezes, and its teacher gets “Your monthly statement is ready”. A blocked statement doesn’t hold the others back: it stays ready with its reason beside it (“2 of 3 closed. The others stay ready, with the reason next to each.”).

On screenSelect allClear selectionClose 2 statementsBefore closingSet contractPrice the batchSelected for closingPayable this monthClosing resultDone

TipOpen adjustments (bonus, deduction, correction) go into their owners’ statements at closing and stay attached: “Open adjustments go into their statements”.

Heads-upClosing is final: “This statement is closed and never changes; only the payment does. Any correction goes into the open month.” A month can’t close before it ends (“The month isn’t over yet.”), nor twice (“This month is already closed.”), nor for a teacher with nothing in it (“Nothing to close in this month.”).

  3. Step 3 of 10

Below the minimum, and a teacher’s debt

The “School rules” set the “Minimum payout”: “Below this, the amount carries over to next month instead of a tiny transfer”. Ishak Belaid’s share for September is 1 500 DZD and the minimum is 2 000 DZD: the table says “Below the minimum · carried over at closing”, the closing panel “Below the minimum (2 000 DZD): Ishak Belaid”. His statement closes with its number but isn’t paid: the amount enters his open October statement as an adjustment (“No. 15 · carried over to next month”). Nadia Meziani, on subscription plus commission, sold less than her subscription in September, so her statement is “Owed to the school”: it closes and the debt is deducted from next month (“No. 14 · debt carried over to next month”). The strip sums it up: “Carried over to next month, below the minimum (2 000 DZD): 1 500 DZD (Ishak Belaid).”. With a minimum of zero, only debts carry over.

On screenMinimum payoutBelow the minimumOwed to the schoolCarried overCarried over to next month

TipA carried-over statement counts as “paid” with no payment: don’t look for a pay button on it — its amount is in the running month’s statement.

  4. Step 4 of 10

The statement, and its printable page

Click a teacher’s line and their statement opens: “Statement no. 12 · Samia Benamor”, “September 2026 · closed October 1”. It shows “Sales”, “Teacher’s share”, “Adjustments”, “Due”, then “Paid” and “Left”; the “Payout account” by its last digits; the “Payments”, each with its confirmation; and the “Timeline”: “Closed · no. 12”, “Payment”, “Samia Benamor confirms”. At the bottom, “Record payment · 84 000 DZD”. For each course with its sales, “All lines” opens the accounts statement for the same teacher and month; its “Print” button puts it on paper under your school’s letterhead: “Statement for Samia Benamor — September 2026 — Statement #12”, or as a PDF from the print window.

    On screenSalesTeacher’s shareAdjustmentsDuePaidLeftPayout accountPaymentsTimelineAll linesPrint

TipEvery statement has a fixed address (/dashboard/school/payouts/…): it opens its month with the statement on top. The teacher’s page and the home link there.

Heads-up“All lines” shows for whoever can see payments; someone who closes statements without seeing payments reads the panel only.

  5. Step 5 of 10

    Record the payment

On the teacher’s line, “Record payment”, or from their statement. “Record a payment to Samia Benamor” opens (“Statement no. 12 · September · due 84 000 DZD”). “Amount”: “Full · 84 000” or “Partial” (“A partial payment keeps the statement “partly paid” with the rest visible in the month.”). “Method”: “CCP” (postal transfer), “BaridiMob” (instant transfer), “Bank account” (bank transfer) or “Cash” (with a signed receipt). “To Samia Benamor’s account”: the account she added herself, never typed here. Then “Transaction number” (or “Receipt number” for cash; optional, Samia sees it with the payment), “Payment date” (today or earlier, never later) and “Note (optional)”. Press “Record payment · 84 000 DZD”: Samia gets “A payment was recorded for you” to confirm receipt; once payments reach the amount due, the statement becomes “paid”.

On screenRecord paymentAmountFullPartialMethodCCPBaridiMobBank accountCashTransaction numberReceipt numberPayment dateNote (optional)

TipPaying in two goes? Record “Partial” twice: each payment is a line, each waits for its confirmation, and the table reads “Paid 40 000 · 44 000 left”.

Heads-upThis panel takes no photo of the receipt: the proof is the “Transaction number” or “Receipt number” and the note, then the teacher’s own confirmation. The panel records the transfer without making it: transfer from Algérie Poste or your bank first.

  6. Step 6 of 10

    “Pay everyone”, and the “CSV”

When more than one closed statement is still unpaid and their teachers have accounts, “Pay everyone” appears at the top of the page, with the count. The panel: “Every statement not yet paid, its remaining amount, to the account its owner gave.”, one line per teacher with their account and amount. A line with no account is disabled (“No payout account: pay alone once added”). A line whose account isn’t checked (new, or changed by its owner) starts unticked (“Unchecked account: verify it before paying”): tick it only once you’ve checked it. Then “Transfer date”, one day for everyone, and “Reference prefix (optional)”: “Each statement’s number is added: OCT-2026-12.”. Press “Record … transfers · … DZD”, with the ticked count and total: the payments are recorded one by one, exactly as by hand, with “Recorded” or “Not recorded” on each line, and every teacher is notified. Next to it, the “CSV” button (“Download September 2026 statements (CSV)”): a column each for the teacher, statement, sales, share, adjustments, due, paid, left, method, account holder and account number.

On screenPay everyoneTransfer dateReference prefix (optional)RecordRecordedNot recordedCSV

TipA transfer wasn’t recorded? “Record them one by one from the table”: the others are recorded and unaffected.

Heads-up“Pay everyone” records what you actually transferred; it moves no money. Make the transfers first, then record them with their date.

  7. Step 7 of 10

Payout accounts, and what isn’t checked

The “Payout accounts” tab carries the number that need your attention. Above the table: “2 accounts need your attention: check them before the first transfer.”. For each teacher, the “Method”, the “Account” by its last 4 digits (“Numbers are masked here: the last 4 digits are enough to recognise an account.”), the “Holder” and the “Status”: “Checked”, “Not checked” or “Missing” (“No account added”), missing ones first. The tab reads, it doesn’t edit: “Each teacher adds their own account in “My contract and earnings”.” and “An account its owner adds or changes stays “not checked” until the school checks it.”. The check happens at payment time: with an unchecked account, the payment panel asks you to tick “I checked this account with Karim Haddad”, and nothing records before that (“Confirm you checked the account before recording.”).

On screenPayout accountsMethodAccountHolderStatusCheckedNot checkedMissingAccount rulesI checked this account with …

TipIf someone in the administration edits a teacher’s account, the teacher gets “Your payout account was changed” and the account stays “not checked”: whoever types the number doesn’t vouch for it.

Heads-upAn account changed just before payday? Call its owner and check the number by voice before you tick: a message asking to switch accounts may not come from them.

  8. Step 8 of 10

“I received it”: the teacher confirms, you know

With each payment the teacher gets “A payment was recorded for you” (“Confirm receipt in «My contract and earnings».”). In “My contract and earnings”, their statement line reads “Paid · confirm receipt” with an “I received it” button; one tap turns it into “Receipt confirmed”. Whoever recorded the payment gets “A teacher confirmed receiving a payment”, with the teacher’s name (“Samia Benamor”). On your side: when every payment on the statement is confirmed it turns “Confirmed”, its amount moves from “Paid · awaiting confirmation” to “Paid and confirmed” in the strip, and the “September payments” block shows “Receipt confirmed October 6” by the payment. When everything is paid and confirmed: “Every September statement is settled” and “Open October”.

On screenI received itReceipt confirmedA teacher confirmed receiving a paymentConfirmedSeptember paymentsNot confirmed yetOpen October

TipA payment stuck on “Not confirmed yet” for days? Ask the teacher before transferring again: it may have gone to an old account.

  9. Step 9 of 10

A dispute on a line, and your answer

A teacher doesn’t reject the whole statement: from “Details” in “My contract and earnings” they tap “Dispute a line” and fill in “The sale or line concerned” (“Sale of Sept 14 · “Photography basics””), “Amount concerned (DZD)” and “What’s wrong?”, then “Send dispute”. The notification “A statement is disputed” goes to the director and to whoever closes statements or confirms payments; the page head says “One dispute is waiting for your reply.” and the “Open disputes” block has an “Open” button. The panel shows “What Samia Benamor wrote”, then “How to answer”: “Correction in the open month” (an amount added as a line “Correction after a dispute on statement 12” to her open statement and paid with it; statement 12 stays as it is), “Reply without a correction” when explaining is enough, or “Reject with a reason”. Write “Your reply to Samia Benamor” and press “Add correction and reply” (or “Send reply”, “Reject and reply”). The dispute closes and she gets the reply.

On screenDispute a lineSend disputeOpen disputesOpenHow to answerCorrection in the open monthReply without a correctionReject with a reasonAdd correction and replyLater

Tip“Reply without a correction” closes the dispute as “Accepted” on the teacher’s side, with no amount. If your answer is no, choose “Reject with a reason” so it reads that way.

Heads-upAnswering disputes belongs to whoever holds “Close statements”. A correction is never larger than the sales or the amount due of the statement it corrects.

  10. Step 10 of 10

Reminders: closing day, and after the pay day

No need to remember the dates. From 8 a.m. Algiers time on the “Closing reminder day”, if teachers under contract have no statement for last month, the director gets “Time to close last month’s statements” (“4 teachers without a statement”). After the “Last day to pay”, if closed statements are still unpaid: “Statements are past their pay day” (“1 still unpaid”). Each reminder comes once a month and opens “Statements and payouts”. On the page itself, the due line turns red: “The due date (Saturday, October 10) has passed.”. And every Sunday morning the “Your school this week” summary counts open disputes and “unpaid statements”.

On screenClosing reminder dayLast day to payTime to close last month’s statementsStatements are past their pay dayYour school this week

TipSet the “Last day to pay” in the “School rules”: the strip shows “by October 10”, and teachers know when to expect their money.

Questions

When can I close the month’s statements?

Once the month is over in Algiers time — from the first day of the next month. Before that, the attempt says “The month isn’t over yet.” and the running month reads “Provisional”.

I made a mistake on a closed statement — can I edit it?

No: a closed statement never changes. The correction goes into the open month as an adjustment, or as a “Correction in the open month” when it comes from a dispute.

A teacher hasn’t added a payout account

Their statement closes as usual but stays out of “Pay everyone”. Ask them to add it in “My contract and earnings”, or pay in “Cash” with a signed receipt and note the “Receipt number”.

I paid only part of the amount

Choose “Partial” and enter the amount: the statement stays “Partly paid”, with “Paid … · … left” visible until you finish.

Why don’t I see “Pay everyone”?

It shows to whoever records payments, when more than one closed statement is unpaid and their teachers have payout accounts. For a single statement, use “Record payment”.

Do teachers see their colleagues’ statements?

No. Each sees their own in “My contract and earnings”, and the accounts statement page opens only for its owner and for whoever can see payments.
