Commissions: seven states, and never a void without a reason

In “Partners” nobody writes a commission: it’s read from the order itself. It starts when the order is paid; when the money is refunded or the parcel comes back it voids itself, and every void carries a written reason the partner reads. Anything odd, like three orders from one phone number, protection holds for you to decide. In this lesson Samir Boudiaf, a pastry trainer, follows his partners’ commissions on his course, his monthly workshop and his printed recipe book sold cash on delivery. The same rules work for a language teacher or a designer selling templates.

  • 4 minutes, then a minute per review
  • 5 steps

Who can do it: Commissions are visible with “Partners: review commissions and manual attribution” or “Partners: programs, partners and settings”. Deciding in “To review” takes the first; setting “Protection”, the second.

In 5 steps

  1. 1“Commissions”: one row per commission, with the tabs “All”, “To review”, “In safety period”, “Due”, “Paid” and “Voided”.
  2. 2The seven states: Waiting, Safety period, Due, In a statement, Paid, Void, To review.
  3. 3Cash on delivery stays “Waiting” until collection, then 14 days in the “Safety period”; a refund meanwhile voids it by itself.
  4. 4“Protection” holds large amounts, first sales, frequent returns, a repeated phone and paid ads.

  1. 5In “To review”: the reason in numbers, one recommendation, then “Void the commission” or “Approve it” with a reason the partner reads.

Before you start

  • A running program and partners who have sold: a commission appears on its own with the first order through a partner.
  • The “Partners: review commissions and manual attribution” permission to decide in “To review”.
  • If you sell cash on delivery: confirm orders on the “Call desk” as usual; the commission follows the parcel’s state.
  1. Step 1 of 5

The commissions log: one row per commission

Open “Commissions”: “Every order a partner brings becomes a line here on its own, with its state and reason.” The tabs “All”, “To review”, “In safety period”, “Due”, “Paid” and “Voided”, with search (“Order number, code or partner name”) and the “Partner”, “Program” and “Month” filters. The columns: “Order”, “Partner”, “Came via”, “Commission”, “State” and “Date”. At Samir’s: “#A-1052 · Pastry basics · NOUR · Code · 810 DA · Safety period”; a renewal shows as “Renewal 2 of 3”; a voided line stays, struck through, with its reason: “The order came back undelivered”.

On screenCommissionsAllTo reviewIn safety periodDuePaidVoidedPartnerProgramMonthOrderCame viaCommissionStateDateExport

TipThe commission is on what the buyer actually paid after the discount, delivery excluded: 6 000 DA with 10% off = 5 400 DA, and 15% of that is 810 DA. A fixed-amount product counts per copy: “2 copies” = 300 DA. “Export” gives you the table as a file.

Heads-up“Voided lines are never deleted: they stay here with their reason.” Nothing in this log is erased.

  2. Step 2 of 5

The seven states, in the order a commission lives them

“Waiting”: the order isn’t paid yet (“Waiting until the order is collected”). “Safety period”: paid, and waiting a few days before it’s approved (“Becomes due on 27 October”). “Due”: “Joins the next statement”. “In a statement”: inside a closed statement (“In statement no. 7”). “Paid”: the statement was paid to its partner. Off the path: “Void”, always with a reason, and “To review” when protection holds it (“Waiting for your decision”). The same seven words and colours on every screen, for you and for the partner.

On screenWaitingSafety periodDueIn a statementPaidVoidTo review

TipEach commission’s drawer gives the date of its next step: “Becomes due on …”, “Paid on …” or “Voided on …”. No waiting without a date.

  3. Step 3 of 5

Cash on delivery, the safety period and refunds

The printed book’s order #A-1050 is cash on delivery: its commission (150 DA) stays “Waiting” while the parcel is on the way, because “A commission only counts once the delivery company has collected the money”. When the order turns “Delivered” it enters the “Safety period” for 14 days, then becomes “Due” on its own. For a prepaid order the safety period starts when the payment is accepted. If the parcel comes back or the money is refunded meanwhile, it becomes “Void” with its reason (“The order came back undelivered” or “The order was fully refunded”), and the partner gets “Commission cancelled”.

    On screenWaitingSafety periodDueVoid

TipA partial refund recalculates the commission on what is still paid: “Part of the order was refunded, so the commission went down”. Paying in installments: a commission on each installment when it’s paid.

Heads-upIf the money is refunded after the commission was paid, the partner owes nothing back: a negative “Correction” line appears in the next statement and comes off what they’re owed next.

  4. Step 4 of 5

Protection: what holds a commission for you

In “Partner settings” → “Protection” (“What stops fraud, and when a commission stops for you to see it.”): “Always on”: “No self-referral” (“A partner earns nothing on their own purchase: same account, phone or device”) and “Cash on delivery after collection”. Then “Review”: “Freeze on many returns” (“Above 40%”, over the last 20 cash-on-delivery orders), “Manual review of large commissions” (“Above 5 000 DA”), “A new partner’s first 3 sales are reviewed”, and “Monthly cap per partner” (30 000 DA). Then “Alerts”: “Paid ads in the academy’s name” (“Allowed”, “Commission held” or “No commission”), “Many clicks without a purchase” (an alert only) and “Same phone on more than two cash-on-delivery orders”.

On screenPartner settingsProtectionAlways onNo self-referralCash on delivery after collectionReviewFreeze on many returnsManual review of large commissionsMonthly cap per partnerAlertsPaid ads in the academy’s name

TipEvery held commission goes to “To review”; you get “Commissions to review”, and it shows first in “Waiting for you”.

Heads-upWhat protection voids by itself also states its reason: the partner’s own purchase, “An order by a member of the academy's team”, “It came from a paid ad, which the program does not count”, “The item is outside the program”, “A renewal beyond what the program covers”.

  5. Step 5 of 5

“To review”: the reason in numbers, then your decision

The “To review” tab is the only one waiting for a decision. Samir clicks Riad’s commission #A-1047 and reads: “Same phone on several orders” (“One number ordered more than once, cash on delivery, through this partner.”), “Orders: 3” and “Returned: 2”, then the “Orders involved” with their states, then “We recommend”: “Void this commission.”, with “Return rate: 60%” and “Usual across your partners: 7%”. He writes the “Reason”: “Repeated orders from one number”, then “Void the commission”. The other button, “Approve it”, is for when you know your partner, and “Pause the partner” sits apart from both.

On screenTo reviewOrders involvedWe recommendReasonVoid the commissionApprove itPause the partner

Tip“Riad will see your decision with the reason you write.” And the reason “is kept in the log under your name”.

Heads-up“Write a reason of at least 3 characters.” An approved or voided commission doesn’t go back to “To review”: the decision is final and written in the partner’s log.

Once a commission is due

Questions

Why is a paid order’s commission still “Waiting”?

On cash on delivery it waits until the delivery company has collected (the order is “Delivered”). With a receipt, it waits until you accept the payment. The drawer says so: “Waiting until the order is collected”.

Can I change a commission’s amount by hand?

No. A commission is read from the order and the program’s rules on the day of purchase, so it can never contradict the order. You can void it with a reason from “To review”, change whose it is with manual attribution, or give the partner a separate reward.

A partner asks why their commission was voided: what do they see?

They see “Cancelled” with the reason and date in their “Sales”, in their own words: “The parcel was returned”, “The buyer was refunded” or “Cancelled by the teacher” with what you wrote.

Does protection accuse the partner?

No. It only holds the commission and shows the numbers: how many orders, the number, the return rate compared with your partners. The decision is yours, with one plain recommendation.

An order was refunded after its commission was paid: do I ask the partner for the money?

No need. A negative “Correction” appears in the next statement and comes off what they’re owed. If they have no balance, the negative waits for their next sale.
