Bookings

“Bookings in the school”: the rules your teachers sell their time by, and your commission in their statements

In a school, each teacher sells their time from “Bookings” in their own dashboard: one-to-one sessions, workshops, weekly slots. The “Bookings in the school” page writes the rules they sell by: who sells under their own name, what the school takes from each session, which policies it locks, the price bounds, and how the school's own services are shared out among its teachers. Then you review their services before they're published, read the money session by session as it lands in their statements, and find a substitute when a teacher is away. In this lesson, Salim Bouzid writes the rules for “Al-Ofok Academy”: Leila sells her photography workshops at the Hydra studio, Karim and Wafa their English sessions, Nesrine her marketing sessions. The same page works for a training centre or a sports club where many coaches sell their time.

  • About 9 minutes
  • 7 steps

Who can do it: It shows under “Administration” for whoever has “Workspace settings”, “Payment settings”, “Review and approve teachers' courses” or “All teachers' bookings”. Changing “Terms” and “Sharing out” takes “Workspace settings” or “Payment settings”; “Review” opens with “Workspace settings”, “All teachers' bookings”, course review or “Decide on teacher requests”; “Money” with “View payments” or either settings permission; and “A teacher is away” with “All teachers' bookings”.

In 7 steps

  1. 1“Bookings in the school” sits under “Administration”: four sections (“Terms”, “Sharing out”, “Review”, “Money”); who sells, and reviewing every new service before it's published.
  2. 2The school's commission: 20% by default, a rate per kind, per-teacher exceptions, and who bears card fees; every change is a new version from the 1st of next month.
  3. 3“Locked policies” a teacher may tighten but never loosen, and “Price bounds” per kind that they see as they type their price.
  4. 4“Sharing out”: services in the school's name given by several teachers, with each teacher's bookings this month drawn to scale.
Show all
  1. 5“Review”: a new service or a new price, who is affected, the kind's bounds, how a seat splits; then “Approve”, “Ask for changes” or “Reject”.
  2. 6“Money”: a session counts for whoever gave it, on the day they gave it, as a line in their statement; unused credit is owed; the teacher reads their net in “My school”.
  3. 7“A teacher is away”: their time closes, their group sessions move to a substitute, every learner is notified; and “A column per teacher” in the calendar shows you the team.

Before you start

  • Your academy is a school with teachers (the “Open your school” lesson).
  • Knowing what you want to take from sessions: one rate, a rate per kind, or per-session pay for a teacher.
  • A cancellation policy you want for every student, if you plan to lock it.
  1. Step 1 of 7

Where the page is, and who sells their time under their own name

Four sections, and the first question: which of your teachers sell sessions under their own name?

    • Every teacher, or those you chooseWhoever isn't chosen doesn't sell services in their own name, and gives the school's.
    • Review before publishingOn from the start: a new service and a new price wait for your approval.
    • No commission before savingUntil the rules are saved once, the school takes nothing from sessions.

TipSalim keeps “Every teacher”: Leila and Nesrine sell their workshops and sessions under their own names, while Karim and Wafa sell their sessions and also give the school's “Intro call”.

    All the details

“Bookings in the school” is in the Administration group of the “School” section. Its header: “The rules for selling time, for every teacher of Al-Ofok Academy: who sells, what the school takes, what is locked, and how the school's own services are shared out.”, and the “A teacher is away” button. Below it, four sections: “Terms” (opened by default), “Sharing out”, “Review” (with what's waiting: “Review · 1”) and “Money”; whoever lacks a section's permission doesn't see it. Until the rules are saved you read: “The bookings rules aren't saved yet: until they are, the school takes no commission on sessions. The values shown are suggestions.”. The first question under “Terms”: “Who sells sessions under their own name?”: “Every teacher” (“Each sees “Bookings” in their dashboard and sells their time.”) or “Those I choose”, picking their names, and “This sets who sells under their own name, not who teaches: the others give the school's services.”. Under it, the “Review every new service and every new price before it's published” switch, on from the start: “Learners don't see it until you or a deputy approve it. A published service keeps its price until the new one is approved.”. Nothing is written before “Save” in the bar at the bottom of the page (“Unsaved changes”, and “Undo”).

  2. Step 2 of 7

The school's commission: a rate, kinds, exceptions, versions

On what was actually given, the day it was given, under terms written like a contract: a month already lived never changes.

    • 20% by defaultAnd a rate per kind if you like; an empty box takes the default rate.
    • An exception for a teacherA percentage, an amount per seat, or pay per session, until a date or open-ended.
    • A new versionThe first save counts from the 1st of this month, every later change from the 1st of next month.

TipOnly the commission and card fees have versions. Who sells, review, locked policies, price bounds and sharing out apply the moment you “Save”.

    All the details

Under “The school's commission on sessions” (“On what was actually given, the day it was given”): “Default rate” 20%, and “No commission on a session cancelled and returned as credit.”. Then “By kind of service”: a box per kind (one-to-one, group session “The room and organisation are the school's”, weekly standing slot, work review, in-person session), and “An empty box takes the default rate.”; Salim puts 25% for group sessions. Then “Contract exceptions” and “Add an exception”: a panel with “Teacher”, “On” (“Everything” or a kind), “How it's calculated”: “Percentage” (“The school takes this percentage of each seat.”), “Amount per seat” or “Pay per session” (“The teacher is paid this amount for each session given; all sales go to the school.”), “Until (optional)” and “Note”; for Nesrine, 15% on everything until 31 December, “Launch contract”. The most specific wins: her exception for this kind, then her exception for everything, then the kind's rate, then the default. Finally “Card fees”: “Taken off before the split”, “Paid by the school” or “Paid by the teacher”, and a line that works it out for you: “Example: a 2 500 DA session paid by card, fee 38 DA: teacher 1 970 DA · school 492 DA”. Under it: “The first save applies from 1 October.”, then for each later change “The commission change becomes version 2, in force from 1 November. Everything before stays on the previous version.”.

Heads-upAn exception is saved with the terms (“Applies with the next version of the terms”): one added in mid-October, after the first save, doesn't apply before 1 November.

  3. Step 3 of 7

    “Locked policies” and “Price bounds”

One rule for every student in the school: a teacher may tighten it, never loosen it.

    • Tighten onlyFree cancellation and rescheduling: a teacher may ask for more notice, not less.
    • The same answer for allGrace period, no-show without cancelling, teacher cancels: the teacher reads them as they are.
    • Price boundsA floor and a ceiling per kind; the intro call is always free.

TipAn existing booking keeps the policy it was made under: a lock added today applies to bookings to come.

    All the details

“Locked policies” (“A teacher may tighten them, never loosen them”): five rows with switches, a padlock on the locked ones. “Free cancellation” (“Full refund up to” 24 h, “Partial refund up to” 6 h, “Part refunded” 50%) and “Rescheduling” (“Times per booking”, “Up to, before the session”): “Locked · teachers may only tighten”. “Grace period” (“The room waits” 10 min), “No-show without cancelling” (a no-show counts as a session, or not) and “Teacher cancels: full credit and an apology”: “Locked · the same answer for every learner”. What isn't locked: “Not locked · each teacher decides”. At the start four rows are locked and “Rescheduling” is free. If Leila wants to give money back in full only 48 hours before her workshop, she can; if she wants 12 hours, the save is refused: “The school locked this rule: you may make it stricter, not looser.”. Then “Price bounds” (“Teachers see them as they type the price”): for each kind “At least” and “At most” (“One-to-one”, “Group · per seat”, “Weekly · per month”, “Work review”, “In person”); Salim sets one-to-one between 1 500 and 4 000 DZD, and in-person between 3 000 and 6 000 DZD. And the “Intro call” stays “always free”, lasting “At most” 30 min.

Heads-upA price outside the bounds is refused when the service is saved: “The price is below the school's minimum.” or “The price is above the school's maximum.”.

  4. Step 4 of 7

“Sharing out”: services in the school's name, given by several teachers

One booking on the school's page, going to one of the service's teachers by its way of sharing.

    • A school serviceAn intro call or a trial session, with the teachers of one subject.
    • To scaleEach teacher's bookings this month are drawn, so an uneven month shows.
    • Each service's wayChosen in the service itself: “Who gives it” and “How bookings are routed”.

TipA session counts for whoever gave it, not whoever created the service: the intro call Karim gave goes into Karim's statement.

    All the details

In “Sharing out”, the top explains “How are the school's services shared out?”: “Take turns” (“Each in turn. Whoever isn't free keeps their turn for the next booking.”), “Least busy”, “Learner picks”, “By level”; you pick the school's way, saved with its rules. Below, “Services in the school's name”: for each service its kind, its way and “13 bookings this month”, then its teachers, each with a bar measuring their bookings this month. Al-Ofok Academy's “Intro call” is given by Karim and Wafa in turns: Karim 7, Wafa 6. If the school has no service yet: “No services in the school's name yet” and “A free trial session shared out among teachers of the same subject is a good start.”, with the “Create a school service” button. “Edit” opens the service, where its real way is chosen: “Who gives it” (its teachers) and “How bookings are routed”: “In turn” (each booking to the teacher with the fewest bookings this month), “Least busy”, “The learner picks” (they see the teachers and choose; the times shrink to one teacher's) or “First one first” (“The others when they are busy”). The learner sees all the teachers' times together, and the teacher is assigned at booking from those free at that time. Beside each teacher, a “Karim is away” button opens “A teacher is away” on them directly.

  5. Step 5 of 7

“Review”: a new service or a new price, before learners see it

You read the difference, not the whole page, who is affected and how a seat splits, then decide with a sentence.

    • Only the difference“Published” and “Proposed” side by side: the price, the student price, the length.
    • Who is affectedCurrent bookings and paid credits keep their old price.
    • Not yourselfYour own service is reviewed by another manager.
    All the details

When a teacher sends a new service or changes the price of a published one, it shows in “Review” under “Waiting for your review”: their photo, the service's name, “Price 4 000 DZD → 4 500 DZD” or its kind and price, “sent …”, and a “Change” or “New” badge. Leila raised the price of her “Studio lighting workshop”. The row opens the “Price change waiting for review” panel: the “Field” / “Published” / “Proposed” table (“Price”, “Student price”, “Length” “unchanged”), “Who is affected?”: “6 current bookings and 0 paid credits keep their old price.”, “Within this kind's bounds: 3 000 DZD to 6 000 DZD.”, “Booked 11 times in 30 days · 2 on the waitlist” and “From each 4 500 DZD session: Leila 3 600 DZD · school 900 DZD”. Then “Note for the teacher” (“They get it with the decision, as you wrote it. Required when asking for changes.”) and three buttons: “Approve”, “Ask for changes” and “Reject”. Leila gets the decision as a notification, with your note. While the new price waits, the service sells at its approved price; a new service stays hidden from learners until approved. Under the list, “Reviewed this month” with the decisions.

On screenWaiting for your reviewChangeNewPublishedProposedWho is affected?Note for the teacherApproveAsk for changesRejectReviewed this month

Heads-upSalim's own service isn't reviewed by Salim: “This is your service: another manager reviews it.”. And whoever reviews courses or decides on teacher requests sees only the teachers in their scope.

  6. Step 6 of 7

“Money”: a session counts for whoever gave it, on the day they gave it

Every session given becomes a line in the statement of whoever gave it, under the terms of the day it was given.

    • In the statementAmount, commission, per-session pay and net, for each teacher, with a “Statement” button.
    • Owed, not earnedUnused credit and paid sessions to come go into the statement of whoever gives them, on the day they're given.
    • The teacher sees their netIn “My school” › “My contract and earnings”: “My earnings from sessions”.

TipA session Youssef paid for in a pack with Karim in September, and Karim gives in October, goes into Karim's October statement, under October's terms.

    All the details

“Money” shows one month: “October · open, closes at month end” and “Previous month”. Four numbers: “Sessions given”, “Paid by learners” (with the card fees), “School commission” (“By the terms of each session's day”) and “Owed to teachers for sessions” (“Goes into their numbered statements”). Then “Sessions in the statements”: a row per teacher, “9 sessions given · Statement open”, “Amount”, “Commission”, “Paid per session” and “Net”, and a “Statement” button. Karim: 22 500 DZD, commission 4 500 DZD, net 18 000 DZD. A teacher whose contract with the school counts sessions itself shows “By contract”. Under it, the line on what's owed: “Prepaid money is owed, not earned: unused credit … and paid sessions to come …. Each one goes into the statement of whoever gives it, on the day it's given.”, and “… of it expires within 30 days and becomes the school's revenue that day.”. The rule is written down: “A session counts for whoever gave it, on the day it was given · a no-show without cancelling counts as given · a refund after closing is a negative line in the open month.”. The teacher reads their side in “My school” › “My contract and earnings”, under “My earnings from sessions” (“this month so far”): “Your net from sessions” 18 000 DZD “from 9 sessions given”, then “Paid by learners”, “School commission · One-to-one 20%”, and “2 paid sessions not given yet (5 000 DA) go into your statement the day you give them.”.

  7. Step 7 of 7

“A teacher is away”, and the calendar through a director's eyes

Their time closes to new bookings, their group sessions move to a substitute, and every learner in a one-to-one session is told of the change.

    • Their time closesOver the period you pick, up to 31 days: nothing new can be booked with them.
    • A substitute per sessionA colleague on the same service, free at the same time; a busy one shows as “busy”.
    • A column per teacherIn the “Calendar”, “Day view” draws the team side by side.

TipIf Karim has no confirmed sessions in the period: “No confirmed sessions for Karim in this period. You can close their time to new bookings.”, with the “Close their time in this period” button.

    All the details

Karim is ill from 20 to 22 October. From the “A teacher is away” button (or the one beside his name in “Sharing out” and “Money”), pick “Teacher who is away”, “From” and “To”. “Show the sessions” lists his confirmed sessions in the period: for each one-to-one session a “Suggested substitute” (Wafa, or “… · busy”) and “3 of their times after the absence, the nearest Sunday 18:00”; for each group session a “Substitute for the whole group”. Then “Close their time and ask 3 learners”: his time closes, group sessions change teacher at once, every learner in a one-to-one session gets “Your teacher changed — choose what suits you”, and Wafa gets “A session handed to you”. Each one-to-one session keeps its time; if nothing is settled an hour before, it's cancelled and the learner's credit returned in full; and the session counts for whoever gives it. To see the whole team, open the “Calendar” in “Bookings”: “All calendars” gathers your teachers' calendars, and “Day view” › “A column per teacher” draws each one's day side by side.

On screenA teacher is awayTeacher who is awayFromToShow the sessionsSuggested substituteSubstitute for the whole groupClose their time and ask 3 learnersAll calendarsDay viewA column per teacher

Heads-upRequests and bookings waiting for payment in the period don't enter the panel: “… requests or bookings waiting for payment in this period: answer them from “Requests”.”. And “A teacher is away” belongs to “All teachers' bookings” only. Learners can't answer the notice from their portal yet: reach whoever wants to keep their teacher and move their session from the “Calendar” before it starts.

Questions

Does the school take a commission before I save the rules?

No. “The bookings rules aren't saved yet: until they are, the school takes no commission on sessions.”. The first save applies from the 1st of the month you saved in.

I changed the commission mid-month — when does it apply?

From the 1st of next month, as a new version (“The commission change becomes version 2, in force from 1 November. Everything before stays on the previous version.”). A month already lived is always worked out under its own terms. Everything other than the commission and card fees applies the moment you save.

A teacher wants a stricter cancellation policy than the school's — can they?

Yes, for free cancellation and rescheduling: more notice or fewer moves. Loosening it is refused: “The school locked this rule: you may make it stricter, not looser.”. Grace period, no-show without cancelling and teacher cancels are the same answer for everyone if you lock them.

A teacher raised their price — does it change for people who already booked?

No. “Who is affected?” says how many current bookings and paid credits keep their old price. And the service sells at its approved price until you approve the new one.

Who does a session given by a substitute count for?

For whoever gave it, on the day they gave it: the substitute gets it in their statement, and a change of teacher or time made by the school doesn't count against the learner's reschedules.

Is unused credit the school's income?

No — it's owed: money received for time not given yet. It becomes revenue when the session is given, going into the statement of whoever gave it. What expires unused becomes the school's revenue on the day it expires.

A teacher I didn't pick under “Those I choose” — what can they do?

They don't sell services under their own name, and they keep giving the school's services they teach on: “This sets who sells under their own name, not who teaches”.
