Orders and the confirmation desk
Every order placed in your store — on the website, the student portal, a course page or a landing page — lands in “Orders” and moves through clear stages, from “To confirm” to “Delivered”. Cash-on-delivery orders are confirmed by phone before they ship: that is the job of the “Confirmation desk”, one order at a time, the number big, the script ready and the outcome in one tap. In this lesson Samira Belaid, an Arabic calligraphy trainer, sells her “Arabic calligraphy tool box” for 2,400 DZD cash on delivery, and a digital “calligraphy practice booklet” for 900 DZD. An order comes in from Oran; she calls from the confirmation desk, the buyer doesn’t answer, then she confirms on the second call. The same steps serve a photographer selling a printed photo book or a marketing coach selling a planning notebook.
- One or two minutes per order
- 10 steps
Who can do it: Anyone with the “Store and products” or “Orders and delivery” permission, and always the owner. The drawer’s digital-part buttons (“+2 downloads”, “Suspend”) need “Store and products”. Someone who only sells their products in the school store sees both pages on their own orders when the school lets teachers ship (without “Manual order”); otherwise they read “Your school handles your orders”: see the “The teacher ships herself” lesson.
In 10 steps
- 1“Orders”, in the “Today” group: seven stages with their counts, a search, four filters, and several orders picked for one action.
- 2Every order wears one status that says where it stands: from “Awaiting payment” to “Delivered”, “Returned” or “Cancelled”.
- 3The “Confirmation desk” shows new cash-on-delivery orders one by one, with the queue and the callbacks for later.
- 4The call’s outcome in one tap: “No answer” brings it back in two hours, “Postpone” sets a callback, “Wrong number”, “Cancelled” with a reason.
Show all
- 5“Fix it during the call”: wilaya, commune, home or office, and the delivery fee follows.
- 6“Confirm” moves it to “Confirmed”, and sends it straight to the carrier if automatic sending is on.
- 7Click any order to open its drawer: the customer and their record, the products and pack parts, the money, the notes and the timeline.
- 8Prepaid parts wait for a receipt: “View”, then “Accept the receipt” or “Reject” with a reason the customer reads.
- 9After confirming: send it, or “I sent it myself”, or “Handed over in person”, then “Returned” and “Return picked up” if it comes back.
- 10“Manual order” for an order taken by phone or at the counter: at the store’s own price, and “Confirmed” at once if it has a parcel.
Before you start
- An open store with at least one product: see the lesson on opening the store.
- The “Store and products” or “Orders and delivery” permission.
- Your delivery prices per wilaya (home and office): every order’s delivery fee, and every address fix, is priced from them.
- A phone at hand: “Call now” and “WhatsApp” open the phone and WhatsApp directly.
- Step 1 of 10
“Orders”: the stages and their counts, search, selection
Open “Store”, then “Orders” in the “Today” group. Under the title, a line sums up your day, for example “12 orders · 7 need you today: 4 to call and 3 to send”, then seven stages with their counts: “All”, “To confirm”, “Confirmed”, “On the road”, “Delivered”, “Returned”, “Cancelled”. Search in “Number, name, phone or tracking” (a tracking number that matches nothing else opens its order directly), and narrow with four filters: “Carrier”, “Wilaya”, “Product type”, “Source”, then “Clear filters”. On a computer, a table with the columns “Order”, “Customer”, “Products”, “Amount”, “Delivery”, “Status”; on a phone and on narrower screens, a card per order with the name, the amount and the status. Tick several orders and a dark bar shows how many and the total “… to collect”, then “Send to the carrier”, “Print the label”, “Confirm” and “Cancel”, each button acting only on the picked orders it fits. “Stages”, next to “List”, shows five columns to drag cards between, and “Export” downloads a CSV that Excel opens in Arabic.
On screenOrdersAllTo confirmConfirmedOn the roadDeliveredReturnedCancelledNumber, name, phone or trackingClear filtersListStagesExportManual orderTipIn the “Stages” view, drag a card from “To confirm” to “Confirmed” to confirm it (“Drop here to confirm”), from “Confirmed” to “On the road” to open the sending sheet, or back to “To confirm”: its drawer opens on the reason. And whatever you pick (stage, search, filters, view) stays in the page’s link: keep it or send it to a teammate.
Heads-up“Cancel” in the bar asks for a “Reason for cancelling (optional)”, then cancels in one go every picked order that can be cancelled. If some changed status meanwhile, the message says how many were done and how many weren’t.
- Step 2 of 10
What each status means
The “Status” column and each order’s header carry one word that says where it stands, and each status only allows certain next steps. An order with a prepaid part (a digital file, course access, a subscription…) starts as “Awaiting payment”, then becomes “Receipt to review” when the customer sends their receipt; both count in the “To confirm” stage. A cash-on-delivery order starts as “To confirm”, and its word changes after each call: “No answer” (with the count: “No answer ×2”), “Callback set”, “Wrong number”. Once confirmed, “Confirmed”, then “Parcel registered” when it is registered with the carrier, then “On the road”, “Out for delivery”, “Failed attempt” and “Coming back”. At the end, “Delivered” (or “Delivered · money at carrier” while the carrier hasn’t paid the money out), “Delivered instantly” for an order with no parcel that is fully paid, “Returned” or “Cancelled”.
On screenAwaiting paymentReceipt to reviewTo confirmNo answerCallback setWrong numberConfirmedParcel registeredOn the roadFailed attemptDeliveredDelivered instantlyReturnedCancelledTipThe road is fixed: “To confirm” becomes “Confirmed” or “Cancelled”; “Confirmed” becomes “On the road”, “Delivered” or “Cancelled”, or goes back to “To confirm” while nothing has left; “On the road” becomes “Delivered” or “Returned”; and “Delivered” can become “Returned”. So the drawer only shows the buttons for the moves allowed now.
Heads-upAn order “On the road” can’t be cancelled: if the parcel comes back, mark it “Returned”. “Cancelled” and “Returned” are the end of the road; to send again, you create a new order.
- Step 3 of 10
The “Confirmation desk”: one order at a time
You get there from “Call desk” in the “Today” group, or from “Start calling” in the “Orders” banner and in “Waiting for you” on the store home. It holds the new cash-on-delivery orders, “Oldest” first or by “Highest amount”. At the top, your day so far, “Today: … confirmed · … no answer · … cancelled”, and the confirmation rate, “Order … of …”, and “WhatsApp templates”. The card: the order number and its source, the customer’s name and their flag if they refused before, their record or “New customer”, “Try … of … · today”, then their number in large type that dials when tapped, with “Copy”, “WhatsApp” and “Call now”. Below, “What to say”: the “Greeting” and “Confirmation” lines written with their name, products, amount and handover place, then “Order” with the products, the delivery and what is paid “On delivery”, and “Stock after confirming:”. On the side, the “Queue”, then “Callbacks later”, the parcels whose delivery failed so you can call their owners, and “The team today”: who confirmed how many and made how many calls.
On screenCall deskStart callingOldestHighest amountWhatsApp templatesNew customerCopyWhatsAppCall nowWhat to sayOrderOn deliveryQueueCallbacks laterTip“WhatsApp templates” opens four ready messages in Arabic or French: “Confirm the order”, “No answer”, “Ask for the deposit”, “Ask for the address”, each with “Open WhatsApp” and “Copy”. The platform never sends anything itself: WhatsApp opens with the message written, and you send it.
Heads-upThe desk doesn’t show what is waiting for a payment or a receipt review, even though it counts in “To confirm” and in the “… orders waiting for a call” banner: those are handled from their drawer in “Orders”, and join the desk once their receipt is accepted and they hold a parcel.
- Step 4 of 10
The call’s outcome: no answer, postpone, wrong number, cancelled
Under the card, on a computer, five buttons, each with a key on the keyboard while the cursor is outside the fields: “Confirm” 1, “No answer” 2, “Postpone” 3, “Cancelled” 4, “Wrong number” 5. On a phone, a bar fixed under the thumb holds “Confirm”, “No answer” and the three-dots button for the rest. Samira calls Youcef Mokaddem in Oran, who doesn’t answer: she taps “No answer”, “#A-1048 no answer · back in two hours” appears with “Send a WhatsApp”, his order moves to “Callbacks later” and the next one takes its place. “Postpone” asks “When should we call back?”: “In an hour”, “This afternoon”, “This evening”, “Tomorrow morning” (Algiers time); the order waits for its time, then moves up the queue. “Wrong number” isn’t called again: it stays at the end of “Callbacks later” until you message it or cancel it. And “Cancelled” asks “Why cancel the order?” (“Changed their mind”, “The delivery fee”, “Fake order”…), then “Cancel the order”.
On screenConfirmNo answerPostponeCancelledWrong numberSend a WhatsAppWhen should we call back?In an hourThis afternoonThis eveningTomorrow morningWhy cancel the order?Cancel the orderTip“No answer” brings the order back to the queue two hours later, and three calls a day is the limit: after the third, it waits for tomorrow with “3 tries today”. A callback whose time has come moves to the top with “due now”. From the drawer too: “No answer” at the bottom, “Postpone the call” and “Wrong number” under “More”.
Heads-upEvery outcome is saved at once and written in the order’s timeline; the screen moves before the server answers: if saving fails, the order comes back to its place with a message. There’s no undo on “Cancelled”: a cancelled order doesn’t come back, and its items return to stock.
- Step 5 of 10
“Fix it during the call”: wilaya, commune, home or office
Two hours later Samira calls again; Youcef answers and would rather pick the box up at the carrier’s office in central Oran than at home in Bir El Djir. Under “Address” on the card she taps “Fix it during the call” (in the order drawer: “Fix the address”, in the “Delivery” section). She picks the “Wilaya”, then the “Commune” from the ones the list suggests, then the “Delivery mode”: “Office” or “Home”, each with its price from your table (or “No delivery”, “By phone”, “Free”). For the office, “Pick the office” from the carrier’s offices when they are known, otherwise type the “Office name or place”; for home, the “Address” (“Neighbourhood, street, house number”). Then “Save the address”: the delivery fee and the amount on delivery are recalculated, “Address changed” goes into the timeline, and a small line reminds you of the previous address while you edit. In Samira’s table, home delivery costs 600 DZD and office pickup 400 DZD: the amount goes from 3,000 DZD to 2,800 DZD.
On screenFix it during the callFix the addressWilayaCommuneDelivery modeOfficeHomePick the officeOffice name or placeAddressSave the addressBackTipIf your table says “By phone” for that wilaya, an “Agreed delivery fee” field appears: type what you agreed. The address can be fixed until the order leaves: “Awaiting payment”, “Receipt to review”, “To confirm”, “Confirmed”.
Heads-upAn address delivery can’t reach isn’t saved (a commune unknown in the wilaya, a wilaya with no delivery, a mode not offered there): the message shows under the fields and the old address stays. And if the parcel is already registered with the carrier, fixing it here doesn’t change the carrier’s parcel: cancel the parcel first, then send it again.
- Step 6 of 10
“Confirm”: and what happens next
Samira reads the “Confirmation” line from “What to say”, Youcef agrees, and she taps “Confirm” (or 1). The order moves to “Confirmed” and the next one arrives at once (its name already shows in the “Next:” line), “Confirmed by phone” goes into the timeline, and the customer gets a notification if the order is linked to their account. What follows is written under the buttons: if you switched on automatic sending in the delivery rules, “After confirming, the order goes straight to the carrier”, and the message “#A-1048 confirmed and sent to … · …” gives the tracking number; if the carrier needs a decision (several offices in the wilaya, a commune it doesn’t know), “#A-1048 confirmed but not sent automatically: …” comes with “Send” to open the sending sheet. Without automatic sending (the starting setting), it waits in “Confirmed” marked “Ready to send”. And before you confirm, if an add-on offer is live in your store, the card shows “Suggest … +…” in the same parcel, and “Add to the order” adds it at its price.
On screenConfirmConfirmedNext:After confirming, the order goes straight to the carrierSendReady to sendSuggest … +…Add to the orderTipFrom “Orders”, confirm several orders at once with the selection bar (“Confirm …”), or by dragging the card to “Confirmed” in the “Stages” view. Keep that for what you already agreed with the customers: for a new order, the call is what cuts returns. If your store is linked to Meta ads, the confirmation (or accepting the receipt, handing over or sending it yourself) is what gets reported as a purchase, once, from the server, unless your tracking settings report it when the order is placed.
Heads-upConfirmed by mistake? In its drawer, “More” then “Back to confirmation”, with a reason (“The address needs fixing”, “Confirmed by mistake”…): it returns to “To confirm” and to the desk’s queue. That works as long as no parcel is registered and nothing has left.
- Step 7 of 10
The order drawer: customer, products, money and timeline
Click any order in “Orders” and its drawer opens over the list (on a phone, from the bottom of the screen), and the page’s link holds it so you can share it with your team. At the top, its number, its status and the payment method (“Cash on delivery”), with two arrows, “Previous order” and “Next order”, to move along without closing. First the customer: name, flag, phone and wilaya, their counts of “orders”, “delivered” and “refused”, then “Call”, “WhatsApp” (with a ready message that fits the order’s status) and “Their file”. Then “Products”: each line with its price and state (“Awaiting confirmation”, “In the parcel”, “After payment”…); a pack opens into its parts with “In the parcel: … of …” when not everything ships; and while it is “To confirm” you can “Add a product to the parcel” or remove a line. Then “Money” down to “What reaches you” after the “Carrier fees”, then “Notes” with “Add a note” (the customer doesn’t see it) and “Assign” to a teammate. Last, the “Timeline”: everything that happened, with the time and who did it, and in grey the steps still to come (“Sending to the carrier”, “Delivery”, “Collecting the money”).
On screenPrevious orderNext orderCallWhatsAppTheir fileProductsAdd a product to the parcelMoneyWhat reaches youNotesAdd a noteAssignTimelineMoreTipFor a digital product, the “Digital part” section shows the downloads and each buyer’s “Copy fingerprint”, with “+2 downloads”, “Suspend” and “Restore” for whoever has “Store and products”. And “More” holds what you don’t need every day: “Note for the team”, “Assign to a teammate”, “Cancel the order”…, depending on what the status allows.
Heads-upThe button to remove a line doesn’t show when only one product is left: to remove it, cancel the order. And “Add a product to the parcel” only offers physical products, whose price is collected on delivery with the rest.
- Step 8 of 10
Prepaid parts: “Accept the receipt” or “Reject”
Samira’s digital booklet isn’t paid on delivery: whoever orders it on its own pays by BaridiMob or CCP receipt, so their order starts as “Awaiting payment” and becomes “Receipt to review” when they upload the receipt photo. Open its drawer: the “Payment receipt” section says “Waiting for your decision”, “View” opens the picture so you can match the amount with your account, and a receipt already sent for another order carries “Already used for another order”. At the bottom, “Accept the receipt”: an order with no parcel closes as “Delivered instantly” and the buyer gets what they paid for; an order with a parcel moves to “To confirm” and joins the confirmation desk’s queue. Or “Reject”, which asks “Why reject the receipt?”: “Unreadable picture”, “Amount doesn’t match”, “Transfer not received”, “Receipt already used”, with “The reason the customer will read”, then “Reject the receipt”: the order goes back to “Awaiting payment” so they can send another receipt.
On screenAwaiting paymentReceipt to reviewPayment receiptWaiting for your decisionViewAlready used for another orderAccept the receiptRejectWhy reject the receipt? The reason the customer will readReject the receiptTipThe customer gets the reason as a notification when the order is linked to their account, and “Receipt rejected” goes into the timeline with the reason. If they send several receipts, they all stay in the section, and the one that counts is marked “Current”.
Heads-upAn order “Awaiting payment” has no accept button: wait for the receipt. And if an order is cancelled after its prepaid part was paid, its drawer shows “… to refund to the customer.”: send the money back yourself (BaridiMob or CCP), then “Record the refund”.
- Step 9 of 10
After confirming: sending, handing over, and returns
In the drawer of a “Confirmed” order the main button is “Send to the carrier”: it opens the sending sheet explained in the delivery lesson, and once the parcel is registered it becomes “Print the label”. Under “More”, two ways without a carrier: “Handed over in person” (Samira hands the box over at her workshop: the order becomes “Delivered” and the money “Received”), and “I sent it myself” with your own courier, the “Tracking number” being optional, then “Mark as sent”. A parcel you sent yourself is closed by you: “Delivered” or “Returned”; carriers’ parcels update themselves in the timeline, and “More” keeps “Handed over in person” and “Parcel returned”. When it comes back, pick the reason: “Refused or unreachable” (counts against the customer, who may be asked for a deposit next time by your store’s rule), “Carrier’s mistake” or “Damaged in transit”, then “Record the return”. When the parcel reaches you from the office: “Return picked up”, “Put the items back in stock” if they’re intact, then “Record the pickup”.

In the returned order’s drawer, “More” then “Resend as a new order” opens a manual order with the same products and address, for you to check. And a parcel registered but not yet picked up is cancelled with “Cancel the parcel at the carrier”: the order goes back to “Confirmed”.
Heads-up“Cancel the order” (under “More”) only exists up to “Confirmed”, and puts the items back in stock. Once it has left there’s no cancelling: if it comes back, it is marked “Returned”.
- Step 10 of 10
“Manual order”: an order taken by phone or at the counter
A teacher from Blida calls Samira for two boxes for her students. In “Orders” she taps “Manual order”: “An order taken by phone or at the counter, at the store’s own price”. In “Products”, the best sellers show first; search in “Search a product”, pick the variant if there is one, and change the quantity with − and +. Then “Customer”: “Name” and “Phone” (an Algerian mobile number), and “Delivery” when the order holds something to ship: wilaya, commune, “Home delivery” or “Office pickup”. Then “Payment”: “On delivery”, “Paid in hand”, “Waits for a receipt” or “Free”, with “Coupon” and “Note for the team”. The “Price” section applies offers and delivery the same way the website does, and the button carries the amount, “Create the order · …”: here 5,400 DZD (two boxes at 4,800 DZD and 600 DZD delivery). Once created, “Order #A-1052 created” appears and its drawer opens.

With a prepaid part and “Waits for a receipt” it starts as “Awaiting payment”; and an order with no parcel “Paid in hand” closes at once.
Heads-upThe button only works with at least one product, a name, a valid phone number and an address if there’s a parcel. A number blocked in your store shows “This number is blocked in your store. You can still create the order.”, and the deposit rule shows for information only: it doesn’t stop a manual order.

Questions
Why doesn’t the “Confirmation desk” show every order “To confirm”?
Because the “To confirm” stage also gathers the orders waiting for a payment or a receipt review. The desk only shows new cash-on-delivery orders; the others join it once their receipt is accepted and they hold a parcel.
I called three times with no answer: what happens?
After the third try of the day, the order waits for tomorrow in “Callbacks later” with “3 tries today”. Send the “No answer” message from “WhatsApp templates”, or cancel it with the reason “Never answers” when you decide to.
How do I know, before calling, that a customer refused a parcel before?
Their flag shows in the list and on the card: “Refused once” with a reminder to check the product, size and address, “Deposit required” with “Ask for the deposit” when their refusals reach your store’s rule, or “Blocked”. The thresholds come from the delivery rules; to start: a deposit after two refusals, a block after three.
Does the desk send WhatsApp messages by itself?
No. “WhatsApp”, “Open WhatsApp” and “Send a WhatsApp” open the chat with the message written in Arabic or French, and you send it from your phone.
I confirmed an order by mistake: can I undo it?
Yes, as long as no parcel is registered with the carrier: in its drawer, “More” then “Back to confirmation”, and pick the reason. It returns to “To confirm” and to the desk’s queue, and the reason stays in its timeline. If the parcel is registered, cancel it first with “Cancel the parcel at the carrier”.
What does “Shared” on an order mean?
It shows in the store of a school where each teacher ships herself, when the order holds products from more than one seller: “Also has other teachers’ or the academy’s products — the school confirms it”. The store team sees the whole order and confirms it; the teacher sees only her products and her share, the order never enters her call desk, and she sends her parcel with “Send my parcel” once it is “Confirmed”. In the drawer, the “Parcels” section: one parcel per shipping teacher, and one for “The academy”.
What’s the difference between the “Confirmation desk” and the “Follow-up desk”?
The “Confirmation desk”, in the “Store”, confirms cash-on-delivery orders by phone before they ship. The “Follow-up desk” follows the people your sales pages bring in; you open it from “Sales” → “Incoming” → “More” → “Follow-up desk”, or with the ⌘K search. Each has its own queue and its own lesson in the guide.
Do store orders show up in “Incoming”?
Yes. “Sales” → “Incoming” is one list of everything your students send, store orders included: under “For you”, the receipt sits in “Receipts to check” with “Check receipt”, a new cash-on-delivery order in “Orders to confirm by phone” with “Confirm order”, what waits to be sent in “Parcels to ship” with “Ship”, and a parcel that came back in “Parcels that came back” with “Take back”. Each button opens the order’s own panel over the page. “Orders” and the “Confirmation desk” stay as they are for whoever sends many parcels at once.
