# Work plans: from one big goal to tasks, milestones and a team

> Launching a new course isn’t one task: it’s a goal, ten steps, dates, and people who each take a part. “Work plans” put all of it on one page: you start from a template that writes the tasks with suggested dates, add milestones that measure progress, bring in the team with their roles and gather the file links, so everyone sees where you stand. In this lesson Amine Belkacem, who runs “En-Nadjah Academy”, builds the plan “Colour grading launch”: Sara Makhloufi leads the content, Karim Haddad handles enrolments and receipts, and Nour El Houda shoots the sales page photos. The method is the same for a marketing coach planning an enrolment campaign, or a teacher organizing exam revision with colleagues.

- Time: About 6 minutes to read
- Who can do it: Anyone with “Tasks” creates “Private” plans and works in the plans they can see. A “Shared” plan needs “Create and manage shared plans”; adding members and changing their roles needs “Assign tasks and manage plan members”. Editing the plan, its milestones and resources belongs to its owner and the “Plan manager”.

## In short
1. Create: “New plan” with a name, a goal and dates, “Private” or “Shared”, and a status rail with counts on the plans page.
2. Templates: five choices, each step with its day and real date, turned into tasks assigned to you.
3. The plan page: “Plan progress”, five tabs, and “Status” instead of deleting.
4. Milestones: “Add milestone” with a date, tasks linked with the flag, ticked by hand, edited and deleted.
5. Members: a “Member” works in the plan, a “Plan manager” edits it, and the role changes from its list.
6. Resources: links that open in one press, and the “Activity history” telling who did what and when.

## Before you start
- The “Tasks” permission in your role (owner, admin, teacher and assistant have it by default).
- A clear goal with a date: a course launch, a workshop, an enrolment campaign or exam revision.
- Your colleagues in the workspace team if you want them involved: see the lesson on team and roles.
- The links to the files you’ll need at hand: Drive, YouTube, documents.

## The steps

### 1. Create a work plan
In the “Organization” panel beside the column, press “Work plans” (on a phone, under “Menu”, or straight from “+” → “Plan”), then “New plan”. In the panel: “Plan name”, “What outcome are you working towards?”, “Plan template” (next step), “Who can see this?”: “Private” (the default: you and the members you add) or “Shared” (visible to everyone who uses “Organization” in your workspace), then “Duration” with “Start” and “End”, and “Create plan”, which takes you to its page. The plans page shows one card per plan: its status, private or shared, “2/5 tasks” and the percentage, its dates, and a pencil for whoever can edit it. Above the cards, the status rail with counts: “In progress” (active and paused, shown first), “Completed”, “Archived”, “All”. Amine writes “Colour grading launch” and makes it “Shared”.
On screen: «Work plans»، «Menu»، «Plan»، «New plan»، «Plan name»، «What outcome are you working towards?»، «Who can see this?»، «Private»، «Shared»، «Duration»، «Create plan»، «In progress»، «Completed»، «Archived»، «All»
Tip: Write the goal as a measurable result: “Open enrolment for the colour grading course on 21 October with 30 sign-ups” guides the team better than “Prepare the course”.
Heads-up: The “Shared” option only shows with “Create and manage shared plans”; without it your plans stay “Private”. The page shows the 100 most recently updated plans, and the counts cover those only.

### 2. Start from a template: tasks with suggested dates
“Plan template” offers five choices: “Blank plan”, “Prepare a program or course” (“5 ready-made steps”), “Organize a workshop” (5), “One-to-one follow-up or coaching” (4) and “Produce content in Studio” (5). Pick one and its steps appear, each with its day and real date, counted from “Start” (or from today if it’s empty). Amine picks “Prepare a program or course” and sets the start to Monday 12 October: “Define program goals and outline” Day 1 · Mon, Oct 12; “Prepare materials and lessons” Day 3 · Wed, Oct 14; “Produce the content” Day 6 · Sat, Oct 17; “Review quality and accessibility” Day 8 · Mon, Oct 19; “Prepare publication and follow-up” Day 10 · Wed, Oct 21. “Tasks are created with the plan in one operation. Suggested dates start from the plan’s start date and can be edited later.” Each step becomes a “Shared” task assigned to you, dated in “Planned work date”; leave “End” empty and it becomes the last step’s day.
On screen: «Plan template»، «Blank plan»، «Prepare a program or course»، «Organize a workshop»، «One-to-one follow-up or coaching»، «Produce content in Studio»، «5 ready-made steps»، «Day 1»، «Planned work date»
Tip: In Studio, the “Plan content production” button opens this panel with “Produce content in Studio” already picked. A marketing coach running an ads workshop starts from “Organize a workshop”.
Heads-up: Templates create tasks, not milestones: you add those yourself (step 4). An “End” before the last step stops the creation: “The plan ends before the last template step. Extend the period or choose a blank plan.”

### 3. The plan page: progress and tabs
The page opens with “Back to work plans”, then the name and its badges: the status (“Active”), private or shared, both dates, and “4 members”. Beside it, “Edit” (for whoever can) and “New task”; below, “Plan progress”: “40% · 2/5 tasks”, the completed tasks among the plan’s non-archived tasks. Then five tabs: “Overview” (goal, numbers, milestones and members); “Tasks” — the first 100, completed with their round mark or opened with a press, and “Open all tasks” for the full list with its filters; “Calendar” — a calendar of the plan’s appointments and tasks only, where a day’s “+” creates an appointment attached to it; “Resources”; and “Activity history”. “Edit” opens the same details with “Status”: “Active”, “Paused”, “Completed” or “Archived”.
On screen: «Back to work plans»، «Edit»، «New task»، «Plan progress»، «Overview»، «Tasks»، «Calendar»، «Resources»، «Activity history»، «Open all tasks»، «Status»، «Active»، «Paused»
Tip: Once the launch is over, set the status to “Completed”, then “Archived” a few weeks later: the plan leaves “In progress” and keeps its tasks and history for the next launch.
Heads-up: Plans can’t be deleted: “Archived” is where a finished plan goes. And there is no drag-and-drop board inside a plan: tasks follow their creation date.

### 4. Milestones: markers that measure progress
In “Overview”, the “Stages & milestones” section. Press “Add milestone”, write the “Milestone title” and the “Deadline” (optional), then “Add”: Amine adds “Content ready” for 17 October and “Launch” for the 21st. Link tasks to them from the “Tasks” tab: the flag beside each task picks its milestone or “No milestone”. Each row shows its date or “No deadline”, and “2/3 tasks” with a bar. You tick a milestone done by hand: finishing all its tasks doesn’t tick it. The “Edit milestone” pencil opens the title and date, then “Save”; it also holds “Delete milestone”, after the question “Delete milestone “Launch”? Its tasks stay in the plan without a milestone.” Filming slipped two days, so Amine moved “Launch” to 23 October in three presses.
On screen: «Stages & milestones»، «Add milestone»، «Milestone title»، «Deadline»، «Add»، «No milestone»، «No deadline»، «Edit milestone»، «Save»، «Delete milestone»
Tip: Fewer milestones say more: three or four markers everyone understands, like “Content ready”, “Sales page” and “Launch”, are clearer than one per task.
Heads-up: Adding, editing and deleting milestones belongs to whoever can edit the plan: its owner, the “Plan manager”, and, in a shared plan, anyone with “Create and manage shared plans”. Milestones keep the order they were added in.

### 5. Plan members and their roles
On the side of “Overview”, the “Plan members” section: the owner first, as “Plan owner”. Press “Add member”, pick from “Choose a workspace member”, then the “Member role”: a “Member” opens the plan and its shared tasks and can add tasks to it; a “Plan manager” can also edit it: details, milestones and resources. “The member can open this plan and its shared tasks. Private tasks retain their own access rules.” Then “Add”. To change a role, pick the new one from the list under the name: it saves at once. The × next to a name removes them after “Confirm removal”: “Remove “Karim Haddad” from this plan?”, then “Keep” or “Remove”. Amine adds Nour El Houda as a “Member” for the sales page photos, and makes Sara “Plan manager” since she leads the content.
On screen: «Plan members»، «Plan owner»، «Add member»، «Choose a workspace member»، «Member role»، «Member»، «Plan manager»، «Add»، «Confirm removal»، «Keep»، «Remove»
Tip: In a “Private” plan, a task can only be assigned to the owner or a member: add the person first, then assign. Every addition or role change is written in the “Activity history”: “Added a member or changed their role”.
Heads-up: Managing members needs “Assign tasks and manage plan members” on top of the right to edit the plan; without it, neither “Add member” nor the role list appears. Only an active member of the workspace team can be added.

### 6. Resources and the activity history
The “Resources” tab gathers the links the plan needs: a Drive file, a YouTube playlist, the ad copy document. Press “Add a resource link”, write the “Title” and the “Resource URL” (starting with https://), then “Add”. The resource shows with its title and the site’s name below, and opens in a new tab; the × removes it after a confirmation. Their number shows on the tab and in the “Overview” numbers. The “Activity history” tells who did what and when: “Created an item”, “Updated an item”, “Added a milestone”, “Updated a milestone”, “Added a resource”, “Removed a resource”, “Added a member or changed their role”, “Removed a plan member”, and “Load older” to go further back.
On screen: «Resources»، «Add a resource link»، «Title»، «Resource URL»، «Add»، «Activity history»، «Load older»
Tip: Gather here what the team asks for every day: Sara’s LUTs, Nour El Houda’s shot list, Karim’s ad copy. One link in its place saves ten WhatsApp messages.
Heads-up: Resources are links only, with no file upload in the plan: put the file on Drive or elsewhere and paste its link, making sure its sharing lets the team open it.

## Once your plan exists
- Share out the tasks: Open each task, assign it and set its deadline, or “Open all tasks” to edit them together.
- Put its meetings on the calendar: A “Shared” appointment attached to the plan shows in the plan’s “Calendar” tab for its team.
- Check progress weekly: “Plan progress” and the milestones; “Reports” for anyone with “View organization reports”.
- Archive what’s done: “Completed”, then “Archived”, so “In progress” shows what is really moving.

## Questions

**How do I delete a plan?**
Plans can’t be deleted. Press “Edit” and set “Status” to “Archived”: it leaves “In progress” and keeps its tasks and history under “Archived”; bring it back any time by changing its status.

**Does a template create milestones too?**
No. A template only creates tasks with suggested dates, assigned to you. Add milestones with “Add milestone” and link tasks to them from the “Tasks” tab.

**Every task of a milestone is done — why isn’t it ticked?**
A milestone’s tick is manual and independent of its tasks. Its bar fills with the tasks (“3/3 tasks”), but you tick it yourself when you decide it’s finished.

**Why can’t I make my plan shared?**
Because “Shared” needs the “Create and manage shared plans” permission, held by the owner and admin by default. Without it your plans stay “Private”, visible only to the members you add.

**I can’t see the “Add member” button — why?**
Managing members needs “Assign tasks and manage plan members” on top of the right to edit the plan. Ask the workspace owner to add that permission to your role in the team and roles settings.

**What’s the difference between “Member” and “Plan manager”?**
A member opens the plan and its shared tasks and can add tasks. A plan manager does the same and edits the plan itself: details, status, milestones and resources. Adding members also needs “Assign tasks and manage plan members”.

**Do plan members see my private tasks?**
No. A member sees the plan’s “Shared” tasks; a “Private” task stays with whoever it concerns, under its own access rules. Template tasks are created “Shared” so the team can see them.

**Can I attach files or reorder tasks by drag and drop?**
Not today: resources are links, the plan’s tasks follow their creation date, and there is no drag and drop. Organize them with dates and milestones.

**Why don’t all my plans show?**
The page opens on “In progress” (active and paused). Completed plans are under “Completed”, archived ones under “Archived”, and all of them under “All”. The page shows the 100 most recently updated plans, and the counts cover those only.
