# The “Tasks” page: see what matters and change many tasks at once

> When tasks pile up, writing them down isn’t enough: you need to see them at the right moment. The “Tasks” page shows everything you’re allowed to see, with tools to focus: a scope that narrows the list to open, overdue or undated tasks, the “Board” with its five columns, search and filters by status, plan and assignee that you save under a name and reapply in one tap, and a selection that changes the status, work date or assignee of dozens of tasks at once. We follow Amine Belkacem and his team at the En-Nadjah Academy as they launch the “Video colour grading” course; the method is the same for a marketing coach tracking a campaign, or a head teacher sharing out exam revision among colleagues.

- Time: Two minutes to arrange your list
- Who can do it: Anyone with “Tasks” sees their own tasks and the shared tasks in their plans. Seeing every shared task needs “See all shared tasks”; changing the assignee in bulk needs “Assign tasks and manage plan members”.

## In short
1. The scopes “All”, “Open”, “Today”, “Overdue”, “No date” and “Archived” narrow the list, and its title follows.
2. “List”: one row per task with what matters; “Board”: five columns by status, without drag and drop.
3. “Search tasks” searches titles; “Filters” combines “Status”, “Work plan” and “Assignee”.
4. “Saved views” keep the scope, filters and search under a name, reapplied in one tap.
5. “Select tasks”, then one action on the selection: status, work date, archive or assignee.
6. Five statuses you move between freely; the round mark completes or reopens, and “Completed” waits for prerequisites.

## Before you start
- A few tasks: see the lesson “How to create a task”.
- The “Tasks” permission; for the team’s shared tasks, “See all shared tasks”.
- Work plans if you want to filter by plan: see the lesson “Work plans”.

## The steps

### 1. Scopes: six doors onto the same list
Under the search sits the “Task scope” rail, and the list title follows it. “All” (“All tasks”): everything you may see that isn’t archived, completed and cancelled included. “Open” (“Open tasks”): neither completed nor cancelled. “Today” (“Today’s tasks”): your own tasks only, planned for today, due today or overdue, or placed in “Today’s priorities”. “Overdue” (“Overdue tasks”): open tasks past their deadline. “No date” (“Tasks with no date”): open tasks with no work date and no deadline. “Archived” (“Archived tasks”): archived ones only. Every scope but “Today” includes the team tasks you can see; combine them with the assignee “My tasks” to see yours alone. The “My day” tiles (“Open”, “Overdue”, “No date”) open these scopes filtered on “My tasks”, so the number matches the list. Example: every Sunday morning Amine opens “Overdue” unfiltered to see what’s late across the team, then “No date” to give each task a day.
On screen: «Task scope»، «All»، «Open»، «Today»، «Overdue»، «No date»، «Archived»، «All tasks»، «Overdue tasks»، «My tasks»
Tip: “No date” is the forgotten box: a task with no day and no deadline never shows on “My day”. Once a week, give each one a day, or archive it.
Heads-up: In every scope the order is today’s priorities first, then most recently updated; there’s no sort by deadline. 50 tasks per page, with “Previous” and “Next”. Your colleagues’ changes show after “Refresh” or a filter change, not by themselves.

### 2. The list and the board
At the head of the list, two “Layout” buttons: “List” and “Board”. In the list, one row per task: the round mark shows its status, then the title, and below it what changes your decision: the deadline with date and time (red when late), the status unless it’s “Not started”, a flag for “High” and “Urgent” priority, the plan name or a lock for a private task, and the assignee when it isn’t you. Tap the row to open the task in the side panel. The “Board” has five columns: “Not started”, “In progress”, “Waiting”, “Completed”, “Cancelled”, each headed by a count, with “—” in an empty column. Example: Amine opens the board filtered on the “Colour grading launch” plan and sees two tasks “Waiting”: the editing is waiting for the footage.
On screen: «Layout»، «List»، «Board»، «Not started»، «In progress»، «Waiting»، «Completed»، «Cancelled»
Tip: The board reads at a glance: a long “Waiting” column means work is stuck with someone, not that the team is slow. Ask who is waiting for whom.
Heads-up: No drag and drop: to move a card, open the task and change its “Status”, or use “Select tasks”. Counts cover the page shown (up to 50 tasks), and the layout goes back to “List” on reload.

### 3. Search and filters
The “Search tasks” field searches titles as you type. The “Filters” button opens three filters: “Status” (“All statuses” or one of the five), “Work plan” (“All plans” or one plan) and “Assignee” (“All owners”, “My tasks” or a colleague). The button shows how many filters are on, and next to it “Clear” (✕) removes them while keeping the search and scope. Filters combine with the scope: “Overdue” with the assignee “Sara Makhloufi” = what’s late on Sara’s side. Example: Karim types “colour” and only the course’s tasks remain, then picks “Status: Waiting” and “Work plan: Colour grading launch” to see what’s waiting for an answer before launch.
On screen: «Search tasks»، «Filters»، «Status»، «All statuses»، «Work plan»، «All plans»، «Assignee»، «All owners»، «My tasks»، «Clear»
Tip: Put a distinctive word in the titles of related tasks, such as “colour” across the whole course: search gathers them in an instant.
Heads-up: Search reads neither details nor comments, only the title. And the “Assignee” list shows colleagues only to roles that can assign, see the team or see reports; everyone else sees only themselves there.

### 4. Saved views
Inside “Filters” there’s a “Saved views” section. Set the scope, filters and search, type a clear name in “View name” and press “Save filters”. The view becomes a chip: tap it any time and the list comes back as you saved it; the ✕ beside it removes it. A view keeps the scope, status, plan, assignee and search text; not the list or board choice. And views are yours alone: colleagues don’t see them. Example: Amine saves “Team overdue” (“Overdue”, unfiltered), “My week” and “Waiting — launch” (“Waiting” in the launch plan): three taps to start his morning.
On screen: «Saved views»، «View name»، «Save filters»
Tip: One view per question you ask every week: “what’s late?”, “what’s waiting for an answer?”, “what’s left before launch?”. One tap instead of three filters.
Heads-up: Up to 20 views per person, calendar views included; after that you read “You can save 20 views. Remove one before adding another.”. A saved view can’t be edited: remove it and save it again.

### 5. Bulk editing
Press “Select tasks”: the round marks turn into checkboxes, and a bar appears at the bottom with the count (such as “3 tasks selected”) and “Select editable visible tasks”, which ticks everything on the page you may edit. Then choose the action: “Status” and its value, “Planned work date” with a date (empty to clear it), “Archive” (if you manage the whole selection) or “Assignee” (with the right to assign) and “Choose a workspace member”, and press “Apply to selected”. “Finish selecting” returns the list to normal. Example: the footage has arrived; Karim filters on “Waiting”, selects three tasks and moves them to “In progress” in one go.
On screen: «Select tasks»، «Select editable visible tasks»، «Status»، «Planned work date»، «Archive»، «Assignee»، «Choose a workspace member»، «Apply to selected»، «Finish selecting»
Tip: After the weekly meeting: filter on “No date”, select what you agreed on and give it a “Planned work date” in one go. Selection works on the “Board” too.
Heads-up: Up to 50 tasks at a time, and it’s all or nothing: if a single task can’t be changed (say “Completed” before its prerequisites), nothing changes. No bulk restore, and no bulk change of priority or plan.

### 6. The five statuses and moving between them
“Not started” (empty ring), “In progress” (ring with a dot), “Waiting” (dashed ring: waiting on someone or something), “Completed” (tick), “Cancelled” (dash). You can go from any status to any other: with the “Status” buttons inside the task, or in bulk. Fastest is the round mark in front of the row: one tap makes the task “Completed”, and on a completed or cancelled task it brings it back to “Not started”. The one limit: “Completed” waits for “Prerequisites”; if they aren’t done you read “Complete the prerequisites first. Open task details to review them.”. Archiving isn’t a status: “Archive” inside the task hides it from every scope except “Archived”, where it carries an “Archived” badge, and “Restore” brings it back. Completed and cancelled tasks leave “Open”, “Today”, “Overdue” and “No date”, and stay under “All”.
On screen: «Not started»، «In progress»، «Waiting»، «Completed»، «Cancelled»، «Prerequisites»، «Archive»، «Archived»، «Restore»
Tip: “Waiting” is more honest than “In progress” when work is stuck with someone else: the board tells you whom to call, not where to work.
Heads-up: A status change stays inside the team: students get nothing. But the creator, the assignee and anyone following the task get “Task updated”, except the person who made the change.

## Once your list is in order
- Move the work forward: The “Work” tab: checklist, prerequisites and recorded time.
- Start from “My day”: Today’s three priorities, today’s tasks and upcoming appointments.
- Read the team’s numbers: “Team & workload” and “Reports”: who is overloaded, what was done on time.
- Check who sees what: The “Organization” permissions in roles: visibility, assigning, plans.

## Questions

**Why does “Overdue” on “My day” differ from the “Tasks” page?**
The “My day” tiles count your own tasks and open “Tasks” filtered on “My tasks”, so the numbers match. “Overdue” without a filter shows every late task you can see, your colleagues’ shared tasks included.

**Can I drag cards between “Board” columns?**
No. Open the card and change its “Status”, tap the round mark to complete it, or select several tasks and apply “Status” in one go.

**Can I sort tasks by deadline?**
There’s no sort choice: today’s priorities first, then most recently updated. To focus on due dates use the “Overdue” scope, or the “Calendar”, which places tasks on their deadline.

**Why doesn’t search find a task I know exists?**
It searches titles only, within the current scope and filters. Switch to “All”, press “Clear”, and remember that archived tasks live under “Archived” only.

**Do my colleagues see my saved views?**
No. Saved views are yours alone, up to 20 including calendar views.

**I made a mistake in a bulk edit — can I undo it?**
There’s no undo button. Select the same tasks again and apply the previous value. A bulk edit is all or nothing, so you never end up with half the tasks changed.

**Where does a completed task go?**
It leaves “Open”, “Today”, “Overdue” and “No date”, and stays under “All” with its tick and a “Completed” badge. To hide it for good, archive it.

**Why don’t my colleagues’ changes show straight away?**
The page doesn’t update by itself. Press “Refresh” at the top, or change a scope or filter, to see the latest changes.
