# The team and alerts: who sees what, who follows, and when your phone rings

> When more than one person works the desk, three questions come up: who sees what? who follows this person? and how do I know an order arrived when I am away from the screen? This lesson answers them all: what each permission opens, how “who follows” is decided without a lock or an assignment, and phone alerts with their limits, quiet hours and recipients. Our example: Yasmine, a marketing coach, and her assistant Karim.

- Time: About 10 minutes, once
- Who can do it: Roles and permissions are set by whoever manages the team. Alerts everyone sets for themselves: anyone with “Edit showcases”, “Publish showcases”, “Manage offers and prices”, “Orders and delivery” or “Approve payments”.

## In short
1. The permission decides the type: “Edit showcases” or “Manage offers and prices” for leads, “Orders and delivery” or “Approve payments” for orders.
2. Whoever touches the row first (a try or a status change) becomes “Followed by …”, with no assignment and no lock.
3. “Alerts”: two personal switches, “First order of each showcase” and “New leads”, with limits against excess.
4. Nothing rings until you switch on “My account” → “Phone app” → “Turn on for this device” on each device.
5. Quiet hours from “Organization” delay the notification without cancelling it, and “Notifications” in the “Inbox” keeps everything.

## Before you start
- That your team members are invited with a role that carries the permission they need.
- Everyone’s phone and browser; on an iPhone, add the dashboard to the Home Screen first.
- A simple agreement between you on who calls whom: the desk does not assign.

## The steps

### 1. What each permission opens
The desk page opens to anyone with “Edit showcases”, “Manage offers and prices”, “Orders and delivery” or “Approve payments”; anyone with none does not get in. What each person sees follows the type: leads with “Edit showcases” or “Manage offers and prices”, and cash on delivery and receipts with “Orders and delivery” or “Approve payments”. Someone with only lead permissions sees no orders, and the type bar shows only what they hold. Inside: logging tries, changing status and the pinned note go with the permission of the row’s type. Deciding “Prepaid only” for a number and changing the prepaid wilayas is done with “Orders and delivery”, “Approve payments” or “Manage offers and prices” (with “Edit showcases” alone you see the marks). “Your messages” and “Call hours” are changed by anyone who opens the desk. The sign-in link and device reset: “Orders and delivery” or “Approve payments”. The delivery state that “Order confirmed” writes is written only for someone with “Orders and delivery”. The “Paid → signed in” card: “View payments” or “Analytics”. The owner has all of it.
On screen: «Edit showcases»، «Manage offers and prices»، «Orders and delivery»، «Approve payments»
Heads-up: The ready messages and call hours apply to the whole workspace: anyone who opens the desk can change them, so grant access with care.

### 2. Who follows the person? No assignment, no lock
The desk assigns people to nobody. Whoever touches the row first (logs a try or changes its status) becomes “Followed by …”, with their name in the row and panel, and it does not change when somebody else calls later. The row is not locked: anyone with the permission can call and log. Three things keep you from double calls: every try is logged under the name of whoever called, with its time and note, in “Tries”; a row whose window was used leaves “Now” for everyone; and the desk refreshes every 90 seconds and when you return to it. If you want a split, agree on it: a showcase each using the “All showcases” list, or a type each using the type bar. And the notification opens the person themselves, so whoever receives it knows who is meant.
On screen: «All showcases»، «Tries»، «Now»
Tip: Write in “Pinned note” what your teammate needs: “asked us to call after 6 pm”.

### 3. “Alerts”: two switches for you alone
The “Alerts” button at the top of the desk (with an orange dot if you have no device switched on) opens “Phone alerts” with two switches, effective as soon as you change them (“Alerts saved”), for you alone in this workspace, both on by default. “First order of each showcase”: once per showcase, with the order’s source (“First order from your showcase, from a Facebook ad”), then the showcase name and a line “call to confirm it before shipping” for cash on delivery or “the receipt will reach you for review” for a receipt. It goes to the owner and anyone with “Edit showcases” or “Publish showcases”; tapping it opens the order at the desk if you have “Orders and delivery” or “Approve payments”, otherwise the showcase’s page. “New leads”: at most one notification every 30 minutes per showcase, with how many arrived (“3 new leads from your showcase”, or the name if only one), and at most 20 phone notifications a day per person. It goes to the owner and anyone with “Edit showcases” or “Manage offers and prices”; someone with order permissions alone does not receive it, even if the switch shows. In the “Inbox” “Notifications”, one row per showcase whose count grows while it is unread.
On screen: «Alerts»، «Phone alerts»، «First order of each showcase»، «New leads»، «Alerts saved»
Tip: With two of you, switch off “New leads” for whoever does not call leads, without them missing “First order”.

### 4. Switch your phone on from “My account”
The switches alone make nothing ring: you need a device switched on. In “Phone alerts”, a line says “No device switched on for this account yet.” or the number of devices, and the button “Switch on phone notifications” (with devices, “Manage devices”) takes you to “My account”. There, tap the “Phone app” row: in the “This device” card, on each device you want, tap “Turn on for this device” and accept when the browser asks, then “Send a test notification” to check. Each device follows one workspace: the last one you switched it on from. On an iPhone, notifications only reach the installed app: tap “Install the app” and follow the steps (Share then “Add to Home Screen”, iOS 16.4 or later), open Dirassa+ from its icon and switch on from there. If the browser blocks notifications (status “Blocked”), allow them in its settings then reload the page.
On screen: «Switch on phone notifications»، «Manage devices»، «My account»، «Phone app»، «This device»، «Turn on for this device»، «Send a test notification»، «Install the app»، «Blocked»
Tip: Switch on your phone and your computer together: whoever works at a desk forgets the phone.

### 5. Quiet hours and notifications
If you set “Quiet hours” in “Organization”, “Phone alerts” tells you: “Quiet hours: no alert between 22:00 and 06:30; what you missed arrives afterwards.” (otherwise: “The quiet hours you set in “Organization” are respected.”). A notification that falls in the quiet is held until it ends and not lost, unless you read it in “Notifications” before, in which case it is not sent, or it is more than 12 hours old. And everything stays in the notification inbox (“Notifications”, inside the “Inbox” at the foot of the column) even with the phone off: “Everything stays in the notification inbox, even with the phone switched off.” The notification arrives in your device’s language.
On screen: «Quiet hours»، «Organization»
Heads-up: If a notification does not arrive, first check the dot on “Alerts” and “My account”: with no device switched on, nothing rings.

## After setting up
- Work the desk: The round, the logging sheet and the closing rules.
- Cash on delivery and receipts: What “Confirmed” means and the marks on numbers.
- Your ready messages: WhatsApp messages for your whole team.
- Read the results: Which source brings the orders.

## Questions

**What does each permission open at the desk?**
“Edit showcases” and “Manage offers and prices” open the leads. “Orders and delivery” and “Approve payments” open cash on delivery and receipts. The owner sees everything.

**Can I assign a person to a teammate?**
No. The desk neither assigns nor locks. Whoever touches the row first becomes “Followed by …”, and the split is agreed between you.

**Why does my phone not ring with “New leads” on?**
Because you did not switch on a device in “My account”, or because you have neither “Edit showcases” nor “Manage offers and prices” so you do not receive this kind, or because you are in quiet hours.

**Do I get a notification for every new lead?**
No. At most one notification every 30 minutes per showcase with how many arrived, and at most 20 a day; every lead shows in “Notifications”, grouped.

**How many times do I get “First order”?**
Once per showcase, at the first order it receives.

**What happens to a notification that arrives while I sleep?**
If you set quiet hours it is held until they end. If you read it in “Notifications” before, or it is more than 12 hours old, it is not sent.

**Who opens the ready messages?**
Anyone who opens the desk, and what you save, everyone sends.
