# How to create a task: from a quick line to a full task with a deadline and a reminder

> In “Organization”, a task is the smallest unit of work: a title, a day to work on it, a deadline, an assignee. You write it in two seconds from “My day”, or open the “New task” panel to set everything: status, priority, deadline down to the hour, assignee and who can see it. Then you link it to the course, space or booking it belongs to, choose a reminder before the deadline, and inside a work plan split it into subtasks. We follow the En-Nadjah Academy: Amine Belkacem is preparing the launch of the “Video colour grading” course with Sara Makhloufi, the editing trainer, Karim Haddad, who looks after students and receipts, and Nour El Houda, the photography trainer. The method is the same for a marketing coach preparing a campaign, or a teacher organising exam revision with colleagues.

- Time: A minute for a full task, two seconds for a quick line
- Who can do it: Anyone whose role has “Tasks”: owner and admin, and teacher and assistant in the ready-made roles. Assigning a task to someone else needs “Assign tasks and manage plan members”.

## In short
1. Quick line on “My day”: type in “What do you want to accomplish?” and press “Add”; the task appears in “Today’s tasks”.
2. “New task” opens the details panel; after “Create task” it gains “Work”, “Discussion” and “Repeat”.
3. The fields: title, “Status”, “Priority”, “Planned work date”, “Deadline”, then “More details” for assignee, plan and visibility.
4. “Linked source” ties the task to a course, lesson, community, booking or live session; “Linked task” takes the short way.
5. The “Reminder” works once the task has a deadline, and reaches its assignee in notifications.
6. Inside a work plan: “Subtask” splits the task, and subtasks show with their progress under “Work”.

## Before you start
- The “Tasks” permission in your role: without it, the “Organization” section doesn’t appear.
- Set once, in “Organization settings”, your “Time zone” and “Default reminder”: times and reminders follow them.
- To assign tasks: colleagues who are active workspace members with “Tasks” in their role.
- To link a task to a course, space or booking: access to it; only the types you’re allowed appear.

## The steps

### 1. Quick add from “My day”
On “My day”, under the four tiles, a field asks “What do you want to accomplish?”. Type the title and press “Add” or Enter: the task is created at once with just its title, work date today, assigned to you, “Private” (nobody else sees it), priority “Normal” and status “Not started”. It appears in “Today’s tasks” and in the “Open” tile, and you fill in the rest whenever you like by tapping its row. Example: between two classes Amine notes “Record the colour-grading course intro”, then opens it in the evening to give it a deadline.
On screen: «My day»، «What do you want to accomplish?»، «Add»، «Today’s tasks»، «Private»، «Normal»، «Not started»
Tip: Make the quick field your inbox: anything that crosses your mind during a class or a call is one line here, and you sort it at the end of the day.
Heads-up: Quick add never assigns the task to someone else, and sets no deadline or reminder. For a colleague’s task or one with a due date, use “New task”.

### 2. The “New task” panel
The “New task” button at the top of “My day” and “Tasks” (on a phone, only the + remains), like “+” → “Task” from any “Organization” page, opens a panel at the side of the screen on a computer, and a sheet from the bottom on a phone, so your list stays visible behind it. A new task starts with the details only and ends with “Create task”. Once it exists, open it from the list to find four tabs: “Details”, “Work” (checklist, prerequisites, recorded time), “Discussion” (comments and history) and “Repeat”, and the button becomes “Save details”. Close the panel with unsaved changes and it asks “You have unsaved changes. Leave without saving?”: “Keep editing” or “Discard changes”.
On screen: «New task»، «Create task»، «Details»، «Work»، «Discussion»، «Repeat»، «Save details»، «Keep editing»، «Discard changes»
Tip: Open “New task” from “My day” when you mean to work on it today: the “Planned work date” is prefilled with today’s date. From “Tasks” it stays empty.
Heads-up: A task can’t be deleted. “Archive”, inside its panel, hides it from every list except “Archived”, and “Restore” brings it back; both show only to whoever manages the task.

### 3. The fields: when, how important, who sees it
The title (“What needs doing?”) is required, up to 200 characters, with plain-text details below it. “Status”: a new task starts as “Not started”, “In progress” or “Waiting”. “Priority”: “Normal”, “Important”, “High” and “Urgent”; the last two carry a flag in lists. “Planned work date” is the day you mean to work on it: it shows in “Today’s tasks” that day. “Deadline” is the due date: a date alone, or switch on “Include time” for an exact time (24-hour clock), with your zone named below, such as “Algiers time”. Past the deadline the task is “Overdue”. Then “More details”: “Assignee”, “Work plan”, “Who can see this?” (“Private”: you and the assignee; “Shared”: the team, by permissions and plan) and “Estimated time” in minutes. Example: Amine creates “Edit lesson 3 — colour grading”: “High”, work date Tuesday 6 October, deadline Thursday 8 October 12:00, assignee Sara Makhloufi, in the “Colour grading launch” plan, “Shared”, 240 minutes.
On screen: «What needs doing?»، «Status»، «Priority»، «Normal»، «Important»، «High»، «Urgent»، «Planned work date»، «Deadline»، «Include time»، «More details»، «Assignee»، «Work plan»، «Who can see this?»، «Private»، «Shared»، «Estimated time»
Tip: Work date and deadline are different things: put the deadline on the real hand-in day and the work date a day or two before, so the task reaches “My day” before it’s late. “Estimated time” feeds “Team & workload” and “Reports”.
Heads-up: “Assignee” only shows if your role has “Assign tasks and manage plan members”; otherwise every task you create is assigned to you. And a task has a single assignee.

### 4. Link it to a course, space or booking
At the bottom of the panel, the “Linked source” card reads “Not linked to a course, lesson or session”. Press “Link content or an appointment” and pick the type: “Course or program”, “Lesson”, “Community”, “One-to-one booking”, “Live session” (only the types your permissions allow appear), then search in “Search accessible sources” and choose. The source becomes a link you open from the task in one tap; “Change source” replaces it and “Unlink” (✕) removes it. Faster still: the “Linked task” button, on the course page above the curriculum editor and in the space header, opens “New task” with the source already linked. Example: Karim opens the “October cohort — editing” space, presses “Linked task” and writes “Answer this week’s questions”.
On screen: «Linked source»، «Link content or an appointment»، «Course or program»، «Lesson»، «Community»، «One-to-one booking»، «Live session»، «Search accessible sources»، «Change source»، «Unlink»، «Linked task»
Tip: Link the preparation task to the one-to-one booking itself: before the call, the task takes you to the booking in one tap, with its time and the student’s name.
Heads-up: The link is for finding your way: the course or space page doesn’t list its tasks, and a task has one source. If you lose access to the source you read “You currently cannot access this source, or it is no longer available.”

### 5. The reminder: before the deadline
Under “More details”, the “Reminder” field depends on the deadline. With no deadline it stays disabled, with “Set a deadline to turn on the reminder.” below. With a date only, you choose “On the day at 09:00” or “No reminder” (the time comes from “Reminder time for date-only deadlines” in your settings). With a date and time, you choose “Use default setting” (30 minutes before unless you changed it), “No reminder”, “At the scheduled time”, “5 minutes before”, “15 minutes before”, “30 minutes before”, “1 hour before”, “1 day before” or “1 week before”. The reminder reaches the task’s assignee only, titled “Organization reminder” in notifications, as long as the task isn’t completed, cancelled or archived. When you assign a task to a colleague, they also get “A task was assigned to you”. Example: Sara’s task is due Thursday 12:00 with “1 day before”, so the reminder reaches her on Wednesday at 12:00.
On screen: «Reminder»، «On the day at 09:00»، «No reminder»، «Use default setting»، «At the scheduled time»، «1 hour before»، «1 day before»، «1 week before»، «Organization reminder»
Tip: Set “Default reminder”, “Reminder time for date-only deadlines” and “Quiet hours” once in “Organization settings”. To get reminders on your phone, open “My account” → “Phone app” and press “Turn on for this device”.
Heads-up: A work date alone sends no reminder, no alert comes once the deadline has passed, and there are no email reminders.

### 6. Subtasks inside a work plan
When you open a task from a work plan’s page, a “Subtask” button appears under its fields. It opens “New task” in the same plan (“Shared” by default, with “More details” already open to pick the assignee), and at the top “Part of:” with the parent task’s name as a link. In the parent’s “Work” tab, the “Subtasks” block shows a counter such as 1/3, a progress bar, each subtask with its status and link, and a “Subtask” button to add more. In the list, when the parent is on the same page, a subtask’s row carries “Part of: …”. Example: in the “Colour grading launch” plan, Amine splits “Shoot the ad” into “Write the ad script” for Karim, “Studio shoot” for Nour El Houda and “Edit the ad” for Sara, each with its own assignee and deadline.
On screen: «Subtask»، «Part of:»، «Work»، «Subtasks»، «No subtasks yet.»
Tip: Subtasks when several people share the work; the “Work” checklist when one person moves through it step by step.
Heads-up: “Subtask” shows on the plan page only, not on “My day” or “Tasks”. And finishing every subtask doesn’t complete the parent: mark it “Completed” yourself, or make the subtasks its “Prerequisites”.

## Once your tasks exist
- Arrange your list: The “Tasks” page: scopes, filters, saved views and the “Board”.
- Work through it: The “Work” tab: checklist, prerequisites and recorded time.
- Repeat weekly work: The “Repeat” tab creates “Answer Sunday’s questions” every week by itself.
- Gather work in a plan: “Work plans” to launch a course with its milestones, members and subtasks.

## Questions

**Can I delete a task?**
No. Open the task and press “Archive” (shown to whoever manages the task): it leaves every list and stays under “Archived”, where “Restore” brings it back.

**How do reminders reach me? By email?**
Not by email. A reminder arrives in the platform’s notifications (“Notifications” in the “Inbox”), and on your phone or computer if you turned notifications on in “My account” → “Phone app” with “Turn on for this device”. Task comments and task updates stay in “Notifications”.

**Why didn’t my reminder arrive?**
It needs a deadline and goes to the assignee only; it doesn’t come if the task is completed, cancelled or archived, or if “Remind me about tasks and appointments” is off in “Organization settings”. During “Quiet hours” it waits for them to end, unless the deadline falls first: then it goes out at once. It can arrive a minute or two late.

**Can I assign a task to two people?**
No, a task has a single assignee. For shared work, create a work plan and split the task into subtasks, each with its own assignee.

**Who sees the task I created?**
“Private” (the default outside plans): you and the assignee only, not even the workspace owner. “Shared”: roles with “See all shared tasks”, and the members of the work plan it belongs to.

**Where is the “Linked task” button?**
On a course page, above the curriculum editor, and in the header of a space’s page, for whoever can access them. For a lesson, a one-to-one booking or a live session, create the task and link it from “Linked source”.

**Can I attach a file or add tags?**
No attachments and no tags. Put links in the details, link the task to its source, gather a project’s tasks in a work plan and use “Priority” for what comes first.

**Do tasks sync with Google or Apple Calendar?**
No. Tasks appear in the platform’s “Calendar” on their deadline, or on their work date when they have none; there is no export and no sync with an outside calendar.
